SIFMA is currently seeking an Administrative Assistant to join our New York office. This position supports the NY-based Capital Markets team comprised of five Managing Directors, providing essential support to the organization by efficiently managing administrative tasks and ensuring the smooth operation of daily activities. Attention to detail, organizational skills, and ability to multitask, sometimes under tight deadlines will contribute to the overall productivity and success of the group.
Responsibilities:
The Administrative Assistant will be responsible for supporting five Managing Directors in regard to the following:
- Demonstrate a high level of professionalism and confidentiality in all communications.
- Maintain complex calendars, including booking and supporting travel arrangements.
- Organize and coordinate member meetings, both virtually and in person. This includes maintaining rosters; drafting, proofing, and distributing meeting materials; scheduling meeting rooms and virtual meetings; ordering food, and maintaining attendance lists.
- Assist in planning, logistical coordination and support of occasional events with members, regulators, and policy makers.
- Prepare and manage timely submission of monthly expense reports, as well as vendor work packages and internal payments processes.
- Ensure all assignments/projects are completed with accuracy and efficiency, including follow-through to ensure that appropriate and timely actions are taken.
- Provide exceptional customer service to members, vendors, and visitors, addressing inquiries and ensuring a positive experience.
- Establish and maintain effective, collaborative, and cooperative professional business relationships throughout the organization.
Qualifications:
- Bachelor’s degree or 3 years of administrative support experience.
- Excellent clerical, organizational, time management and written and verbal communication skills, with attention to detail and accuracy.
- Strong technical skills including a full working knowledge of Microsoft Office Suite and, if not already fully trained, a willingness to master various systems such as travel, expenses, project management customer relationship management and vendor payment.
- Strong problem-solving skills and ability to adapt to changing priorities; commitment to communicate clearly and regularly regarding pending and completed projects.
- Curiosity and willingness to learn new skills.
- Positive attitude, teamwork, and willingness to support colleagues.

Salary Range: $70,000 - $78,000
