What are the responsibilities and job description for the Human Resources Assistant position at SIFMA?
SIFMA is seeking a proactive and detail-oriented Human Resources Assistant to join our human resources team. This entry-level position is an excellent opportunity for a self-starter eager to learn HR from the ground up. The primary responsibilities of the Human Resources Assistant is to provide day-to-day operational support to the HR team, as well as administrative assistance to the Chief Administrative/Chief Financial Officer. This position reports to the Managing Director, Human Resources.
Responsibilities:
- Provide comprehensive administrative support to the HR team and CFO/CAO, including manage complex calendars, complete expense reports, update organizational charts, update administrative professional buddy list, enter guests into security system, create and manage work packages, keep track of and submit vendor invoices for payment, compose and prepare correspondence, arrange travel, prepare itineraries and agendas and compile documents for all meetings.
- Answer frequently asked questions from applicants and employees about SIFMA’s policies, benefits, hiring processes, etc.; refer more complex questions to appropriate team members.
- Maintain benefit payment tracker and supplemental retirement enrollment.
- Maintain all employee files, applications and process all Human Resources related paperwork accurately and in a timely manner.
- Assist with planning and execution of special events such as open enrollment, organization-wide meetings, employee events, and holiday parties.
- Assist with the recruitment and interview process by scheduling interviews and performing background checks on new hires.
- Create new hire and exit packages and other HR-related materials for employees and candidates.
- Maintain and keep current the content on SIFMA’s intranet.
- Complete and submit employment verification requests.
- Assist with annual compliance audits.
- Manage employee photos for internal systems.
- Create and send employee anniversary cards.
- Assist with company wellness program (health fairs and flu shots).
- Establish and maintain effective and cooperative professional business relationships with all levels of employees and vendors.
- Demonstrate a high level of customer service, professionalism, and confidentiality at all times.
Qualifications:
- Bachelor’s Degree and a strong interest in Human Resources required.
- Previous administrative experience is a plus.
- Excellent verbal, written and interpersonal communication skills.
- Ability to manage confidential/sensitive information with discretion and tact.
- Strong organizational skills, accuracy, and attention to detail.
- Ability to manage multiple tasks and projects at the same time.
- Microsoft Office Suite, including Excel (i.e., sum, percentages, tables, etc.), Word, PowerPoint, and Outlook.

Salary range: $57,000 - $67,000
