The I&L Operations Specialist ensures show assets are documented, shipped, and supplied across Sight & Sound’s theaters, coordinating freight, processing purchases, and maintaining records to support consistent show reassembly over time. This role supports the logistics of premiere and returning shows, linking Show Engineering’s designs to Install & Logistics’ execution through efficient clerical operations.

The I&L Operations Specialist ensures show assets are documented, shipped, and supplied across Sight & Sound’s theaters, coordinating freight, processing purchases, and maintaining records to support consistent show reassembly over time. This role supports the logistics of premiere and returning shows, linking Show Engineering’s designs to Install & Logistics’ execution through efficient clerical operations.
Essential Duties And Responsibilities
- Coordinate with all relevant departments to maintain the I&L database, including data entry, capturing and uploading images and video, and collecting drawings and schematics (e.g., lifting points, bolt plans, parts lists), ensuring accurate, durable records for assembly, disassembly, shipping, strike, and installation throughout each show’s lifecycle.
- Handle procurement of tools, equipment (buy/rent), consumables (e.g., saw blades), and freight services via Tradogram (purchasing software), entering POs and tracking costs to support I&L needs.
- Schedule over-the-road freight and prepare manifests and bills of lading, ensuring timely and accurate transport between theater locations.
- Provide logistics and documentation support during changeover strike and install, assisting the I&L Lead and Mechanics as part of a small team.
- Relay logistics updates effectively to internal teams (e.g., Show Engineering, shops) and external partners (e.g., freight vendors).
- Exceptional organizational skills and attention to detail, with a passion for process precision.
- Proficiency in MS Office and logistics platforms (e.g., Tradogram), with adaptability to new tools like Airtable.
- Experience in purchasing, freight scheduling, or documentation (e.g., BOLs, inventory tracking) preferred.
- Basic familiarity with theater assets (e.g., sets, props) a plus, but not required.
- Self-motivated to prioritize and execute tasks independently while thriving in collaborative settings.
