Works closely with: Preconstruction Managers, Estimators, Design Engineers, Owners, Procurement, Scheduling, Project Controls, Legal, Project Managers, Quality Control and Safety.
Job Summary
The Preconstruction Coordinator is a vital member of our preconstruction management team, responsible for ensuring that project plans, schedules, budgets, and communications are maintained accurately and effectively. This role combines robust administrative capabilities with technical skills to support project delivery and facilitate continuous improvement across project processes.
Key Responsibilities
- Project Administration and Documentation:
- Management of project files, schedules, work hours, budgets, and expenditures to ensure adherence to department deadlines and financial targets.
- Develop, update, and maintain project documentation, templates, and processes in alignment with company and PMO governance frameworks.
- Ensure that all project documentation is accurate, complete, and compliant with regulatory and internal standards.
- Meeting Coordination and Communication:
- Organize, attend, and actively participate in stakeholder meetings; prepare agendas, record minutes, and follow up on action items.
- Create clear and concise presentation materials for meetings and executive briefings.
- Serve as a central point of contact to facilitate communication among team members and external partners.
- Systems and Reporting:
- Utilize project management software (e.g., Microsoft Project, Excel, or similar platforms) to track project milestones, deliverables, and performance metrics.
- Assist with the setup, configuration, and optimization of project management systems to ensure data accuracy and consistency.
- Prepare and distribute regular project status updates, dashboards, and reports to support decision-making and executive reporting.
- Risk, Change and Continuous Improvement:
- Identify, assess, and document project risks and issues; recommend proactive solutions and escalate matters as necessary.
- Monitor and evaluate project changes to ensure that impacts on timelines, budgets, and resources are effectively managed.
- Contribute to continuous improvement initiatives by suggesting enhancements to project processes and systems.
- Training and Support:
- Provide training and ongoing support to team members on project processes and tools, thereby enhancing overall project management capabilities.
- Develop user guides and training materials to promote effective use of project management systems across the organization.
This position is required to be based in our Chattanooga, TN office.
Qualifications and Skills
- Education and Experience:
- Bachelor’s degree in Business Administration, Project Management, or a related field.
- Or a minimum of three (3) years of relevant experience in project coordination, preferably within utility-related construction (solar experience is a plus).
- Technical Proficiencies:
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with project management software.
- Experience in document and file management, coupled with strong administrative capabilities.
- Interpersonal and Communication Skills:
- Exceptional verbal, written, and presentation skills.
- Proven ability to work independently as well as collaboratively in a team environment under tight deadlines.
- Additional Skills:
- Strong analytical and problem-solving abilities with a high attention to detail.
- A proactive approach with a commitment to integrating emerging technologies and best practices into project management.
- Certifications (preferred):
- Certifications such as CAPM or PMP are considered a plus, underscoring a commitment to professional development in project management.
