Job Summary: The Claims Service Assistant (CSA) is responsible for support of the claims professionals including form filing, claim set up, diary management, bill processing, appointment coordination, and other duties as requested by the claims professionals in support of the claims adjudication process. The role of the CSA is integral in support of managing claims professionally and timely. This role is entry level with the opportunity for further advancement within the company.

The candidate should be able to work in a fast-paced environment wherein job tasks are time sensitive. The candidate should be able to multi-task, prioritize, have flexibility, possess a strong customer service focus, be open to learning new tasks/training, and collaborate well in a team environment. Ability to create a positive initial impression for our company, whether it's through written correspondence or phone calls.
Essential Duties & Responsibilities:
- Claim Set up- includes entering new losses into the claims system, assigning adjuster/supervisor as directed, and setting up all new claim diaries with attention to detail and accuracy.
- Phone Calls- receive and initiate phone calls on related claim matters utilizing GoTo App and Teams including appointment scheduling and notifications.
- Diary Management- maintain diary daily in furtherance of claims related tasks to include medical follow up, wage requests, form filing, etc.
- Email- management of email via Outlook daily for receipt, documentation, and uploading documents received via email and fax, as well as communication received, and other tasks as requested by the claims professionals.
- Bill Processing- process mileage and other reimbursements to injured workers or medical provider payments (pre-payments for IMEs as an example) as directed by the claims professionals.
- Form Filing- file claims related forms to the Department of Labor (DOL) via Seaportal website and other claims documents as requested by the DOL to include correspondence, medical notes, etc. as directed by the claims professionals.
- Documentation Management- upload documents as received and manage weekly documentation labelling reports and label the documents utilizing the appropriate naming conventions for easy identification.
- Claim Reports- Create and distribute claims management information and reports to stakeholders as directed by the claims professionals.
- Other Duties- all other duties as required or directed in furtherance of the support of the claims professionals to ensure proper, timely, and professional adjudication of claims.
Required Qualifications:
- Superb time management and organizational skills.
- Strong written and verbal communication skills.
- Ability to multi-task and meet deadlines
- Proficiency in computer systems, Adobe, and Microsoft Suite products including Microsoft Excel, Word, and Teams.
- Possess exceptional skills in customer service, building relationships, self-motivation, problem-solving, and working independently.
- Positive and enthusiastic attitude and excel in building strong relationships with others.
Required Education:
- Associate Degree in finance, business accounting or related field is preferred but not required.
- Minimum 1 to 3 years of experience in customer service is preferred.
