POSITION OVERVIEW
Liberty Title & Escrow, under the Fidelity National Financial (FNF) family of companies, is a leading provider of title insurance and settlement services, dedicated to delivering exceptional customer service and ensuring smooth real estate transactions. We are looking for a Closing Specialist who is detail oriented, organized, and passionate about providing exceptional customer service. This role is responsible for coordinating real estate closings while serving as a key point of contact for customers, lenders, attorneys, and internal teams. The ideal candidate is not only experienced in closing procedures but also thrives in a collaborative environment and understands the importance of a positive customer experience. This position will primarily support West Coast customers, requiring Pacific Time business hours: Monday – Friday, 8:30AM PST – 5:00PM PST (11:30AM EST – 8:00PM EST).
LOCATION
- This position can sit 100% remote. If located near Warwick, RI – some onsite may be required.
- Ability to travel 5-10% for onsite trainings as required.
DUTIES & RESPONSIBILITIES
- Manage a pipeline of real estate transactions.
- Responsible for reviewing closing documents for approval and communication with all parties.
- Prepare and review Closing Disclosures (CDs), ALTA settlement statements, and all closing documents in compliance with lender and regulatory requirements.
- Request, review, and/or update: real estate property taxes, homeowner and condo insurance, payoffs, condo/HOA fees, final water/sewer bills, commission statements.
- Obtain required financial information related to the transaction such as tax and fee amounts, agent commissions and seller payment.
- Provide lenders with necessary information to prepare closing figures such as: preliminary closing statements, title commitments/CPL’s, taxes, insurance, and payoffs.
- Ensure title is clear by working with Title Department prior to closing and in accordance with company policies, practices and procedures.
- Provide responsive and professional customer service to all parties, including buyers, sellers, lenders, real estate agents, and attorneys.
- Schedule closings and maintain regular communication with clients to ensure clarity and confidence throughout the process.
- Coordinate closely with internal departments – such as title, post-closing, funding/disbursements – to keep all transactions on track and compliant.
- Ensure that plot plans are ordered and received in a timely manner if required.
- Confirm financial aspects of file are balanced and correct to ensure accurate disbursement of funds and preparation of checks or wires.
- Review closing package for completeness prior to closing.
- Coordinate with notary, attorney or signing agent and serve as point of contact regarding the transaction during the closing.
- Act as a knowledgeable source and liaison for customers, helping to resolve any issues or questions, promptly and professionally.
- Maintain transaction files in compliance with company policies, underwriter requirements, and state regulations.
- Process pipeline of files within title production system, following department procedures.
- Collaborate with internal teams/departments to ensure seamless transactions.
- Responsible for ensuring closing schedule is accurate and closing packages are in for checks or for review the day before closing.
- Review daily reports to ensure completion of assigned team duties and work with manager to ensure coverage of outstanding duties.
- Confirm all internal approvals are obtained during each phase of the process and prior to closing.
- Serve as resource for purposes of fielding inquiries for title quotes and estimates.
- Maintain open communication with team members and management to communicate new policies and procedures while relaying issues to supervisor.
- Responsible to work collaboratively with others (internally and externally) to achieve common objects, goals and results.
- Other job duties as assigned.
MINIMUM REQUIREMENTS
- High School Diploma or equivalent.
- Associate degree, or Bachelor’s degree, in Paralegal studies or related field, or equivalent combination of education, work and experience.
- Previous processing experience in residential and commercial transactions.
- Excellent written and oral communication skills.
- Strong customer service skills.
- Proficiency with personal computers and Microsoft Outlook
- Ability to use PC and widely used software packages, e.g., spreadsheets/Excel, word processing/Word.
- Ability to learn new software packages as necessary or have experience with company operating system.
- Ability to collaborate with colleagues.
- Ability to work independently on assigned tasks as well as to accept direction on given assignments.
PREFERRED EXPERIENCE
- Previous paralegal experience in Title Industry.
- Knowledge of title insurance regulations and industry best practices.
COMPENSATION and BENEFITS
This position has the potential to earn compensation in the range of $60,000 - $70,000 based on location and job-related factors such as skillset and experience. Actual rate may vary within the range provided, depending on a number of factors, including skillset, experience and location. The base compensation is one component of the total rewards package offered to our employees, including optional health and welfare insurance (medical/dental/vision/life/disability); paid holidays, vacation, and sick time off; and matching 401(k) plan and matching employee stock purchase plan.
