Position Overview

We are looking for a self-motivated, detail-oriented professional to join our team in a dual role as an Accounts Payable / Accounts Receivable Specialist and HR Assistant. This full-time role (35 - 40 hours per week) offers a diverse workload, allowing you to support our organization's finance and HR functions. The AP / AR duties will be the primary focus during the first two weeks of each month, while HR assistance tasks will be performed as needed throughout the rest of the month.

This position is 100% in-office , and candidates must be within a 45-minute commute from our office. In this role, you will report to the Controller for financial duties and the HR Director for support in the HR / Payroll department with administrative tasks. You will be responsible for handling accounts payable and receivable, invoicing and collections, while assisting with HR documentation, onboarding, and clerical support.

Key Responsibilities :

Accounts Payable / Accounts Receivable (Approximately 20-25 hours per week)

  • Verify, create, and submit invoices to customers based on details provided by sales reps.
  • Collaborate with sales reps to resolve any invoice-related questions.
  • Conduct collections follow-ups on past-due customer accounts.
  • Enter and process vendor invoices in accounts payable.
  • Review and verify expense reports, coordinating reimbursements with payroll processing.
  • Maintain and organize electronic historical invoice records.
  • Reconciled vendor accounts by verifying and reviewing monthly statements.

HR Assistant (Approximately 10-15 hours per week)

  • Support the onboarding process for new hires, ensuring documentation is collected, verified, uploaded, and signed off.
  • Maintain accurate and up-to-date HR files, records, and documentation.
  • Perform periodic audits of HR files to ensure compliance with company policy.
  • Provide clerical support to the HR / Payroll department.
  • Maintain confidentiality and professionalism in handling sensitive HR and payroll-related information.
  • Assist with other HR and administrative duties as assigned.
  • Qualifications & Requirements :

  • Minimum of 3 years of experience in Accounts Receivable and / or Accounts Payable.
  • Prior experience in supporting administrative roles is desired.
  • An associate's degree is preferred.
  • Strong communication and organizational skills, with exceptional attention to detail.
  • Ability to handle sensitive and confidential information professionally, tactfully, and diplomatically.
  • Proficiency in Excel and familiarity with Microsoft Office applications.
  • Ability to quickly learn and navigate HRIS, payroll management, and other HR applications.
