Overview
The Executive Assistant works closely with Silverchair’s President and executive team (“XTeam”) to drive the company’s strategic objectives. The Assistant supports the XTeam with their decision-making processes, project management, operational coordination, and communications. The Assistant is instrumental in ensuring the XTeam’s time is optimized, that critical initiatives are executed effectively, and that key decisions are supported by thorough research and analysis.
Essential Functions:
- Strategic Planning: Assist the President and the XTeam in the development, implementation, and monitoring of strategic plans and initiatives.
- Decision Support: Provide research, analysis, and insights to facilitate data-driven decision-making by the XTeam.
- Project Management: Coordinate and manage key projects on behalf of the XTeam, ensuring timely execution, alignment with strategic goals, and adherence to the budget.
- Stakeholder Management: Foster strong relationships with internal and external stakeholders, acting as a liaison between the President and various internal teams, clients, partners, and industry leaders.
- Communication and Presentations: Prepare reports, presentations, and briefing materials for the President and the XTeam, ensuring clarity, accuracy, and alignment with strategic priorities. Manage the assembly, review, and preparation of materials for Silverchair’s Board of Directors’ meetings.
- Meeting and Agenda Management: Manage the calendars of the President and the XTeam; schedule strategic meetings, set agendas, and coordinate follow-up actions, particularly for the Weekly Leadership Meeting (WLM) and the weekly XTeam meeting.
- Performance Monitoring: Track key business performance indicators, conduct analyses, and provide regular updates to the President and the XTeam, enabling informed decision-making. This includes gathering and interrogating data for Silverchair’s balanced scorecard and monthly companywide financial reporting.
- Confidentiality and Discretion: Handle sensitive information and maintain a high level of confidentiality regarding strategic discussions, plans, and company matters.
- Industry Awareness: Stay informed about industry trends, emerging technologies, and best practices, providing valuable insights and recommendations to the President.
Required Skills:
- Bachelor's degree in Business Administration, Management, or a related field is preferred. In lieu of a degree, candidates with commensurate working experience are also desirable.
- 3 years' experience in a strategic support/project management role, preferably supporting C-level executives
- Strong strategic thinking and analytical skills, with the ability to gather and synthesize complex information
- Working knowledge of basic statistics, Excel, and accounting or financial terms
- Exceptional project management abilities, including planning, organization, and prioritization
- Excellent communication skills, both verbal and written, with the ability to convey ideas clearly and concisely to diverse audiences and to summarize complex information from disparate sources
- Proven ability to navigate change with discernment and tact
- Proficient in data analysis and presentation tools (e.g., Excel, PowerPoint)
- Discretion and professionalism in handling confidential and sensitive information; impeccable integrity
- Affinity for a fast-paced environment with diverse and sometimes competing stakeholder priorities
- Superlative attention to detail and a commitment to producing consistently high-quality work
