Accounts Payable Specialist
We are seeking an organized and detail-oriented Accounts Payable Specialist to join our finance team. The successful candidate will be responsible for managing and processing all accounts payable transactions, ensuring timely and accurate payments to vendors, suppliers, and other partners. This role plays a critical part in supporting our fashion brand’s financial operations and maintaining strong relationships with external partners.
Key Responsibilities:
- Prepare and submit company expenses by reviewing expense reports, ensuring compliance with company policies, handle all receipts, and processing reimbursements.
- Provide and prepare monthly expenses reports and assist in monitoring budgeted expenses and support the finance team in forecasting future spending.
- Processes payments and controls expenses by receiving, processing, coding (using General Ledger codes), verifying, and reconciling invoices.
- Ensures all company procedures, approval processes, and internal controls related to Accounts Payable are followed.
- Reconciles processed work by verifying entries and comparing system reports to balances.
- Prepares AP Aging report to present to management on a weekly basis
- Charges expenses to accounts and cost centers by analyzing invoice/expense reports.
- Preparing Accounts Payable checks and ACH batches;
- Resolves purchase order, contract, invoice, or payment discrepancies and documentation;
- Verifies vendor accounts by reconciling monthly statements and related transactions.
- Files and Maintains Accounts Payable Records
- Reports sales taxes payable by calculating requirements on paid invoices.
- Prepares all AP reporting for weekly payments and month end reconciliations and reports
- Other duties as assigned.
Skills and Qualifications:
- Bachelor’s degree in Accounting, Finance, or related field (preferred but not required).
- Minimum 3 years experience in an accounts payable, preferably in the fashion or retail industry.
- Strong knowledge of accounts payable procedures and best practices.
- Experience with accounting software and ERP systems (e.g., QuickBooks, SAP, Oracle).
- Proficient in Microsoft Excel and other office software.
- Excellent organizational skills and attention to detail.
- Strong communication skills, both written and verbal.
- Ability to work independently and as part of a team in a fast-paced environment.
- Knowledge of fashion industry-specific purchasing, invoicing, and payment terms is a plus
