About the position:
The Simon Wiesenthal Center and Museum of Tolerance seek a proactive, detail-oriented Administrative Assistant to support the Executive Vice President (EVP) of Education. This role is instrumental in ensuring the smooth operation of the Education department and plays a key part in advancing the EVPs educational initiatives, programs, and strategic goals.
This is a full-time, onsite position based in Los Angeles, CA
Key Responsibilities
Executive Support:
- Manage the EVPs calendar, schedule meetings, and coordinate internal and external appointments.
- Prepare correspondence, reports, presentations, and meeting materials.
Communication:
- Draft and proofread emails, memos, and official communications.
- Serve as a key liaison between the EVP and internal teams, external partners, and stakeholders.
Project Coordination:
- Assist with planning and executing educational programs, events, and initiatives.
- Support project timelines, deliverables, and budget tracking.
Travel & Logistics:
- Coordinate all aspects of domestic and international travel for the EVP and team, including flights, accommodations, transportation, and itineraries.
Meetings & Event Support:
- Organize and prepare for meetings and events; develop agendas, take notes, and follow up on action items.
Record Keeping & Reporting:
- Maintain departmental records, databases, and filing systems.
- Assist in preparing reports and tracking performance metrics.
Departmental Administrative Support:
- Provide administrative support to the broader Education team.
- Assist with scheduling, communications, document preparation, and departmental logistics.
Office Operations:
- Ensure the Education office is well-stocked and operating efficiently.
- Coordinate with other departments for shared resources and operational needs.
Qualifications and Skills
Required:
- Minimum 4 years of experience in an administrative support role
- Outstanding organizational and multitasking skills
- Strong written and verbal communication abilities
- High proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and digital scheduling platforms
- Experience coordinating complex calendars, meetings, and travel logistics
- Professional discretion in handling confidential information
- Ability to take initiative, solve problems independently, and remain adaptable in a fast-paced environment
- Strong interpersonal skills and a collaborative, team-oriented approach
Preferred:
- Experience in nonprofit, educational, or cultural institutions
- Familiarity with museums, Holocaust education, or human rights-related organizations
