Special Projects Coordinator

Grants, Partnerships, and Project Support

About The Role

We’re a growing, community-focused organization looking for a Special Projects Coordinator who’s organized, adaptable, and ready to roll up their sleeves. In this role, you’ll support the Owner/CEO with a mix of responsibilities—from grants and contracts to community partnerships and project coordination.

This is a great opportunity for someone who enjoys a bit of everything: writing, planning, relationship-building, and jumping into new opportunities as they come up. You'll help keep projects on track and support communication with funders and partners.

What You’ll Be Doing

Project & Grant Management

  • Research and identify grant opportunities aligned with our goals
  • Write and submit proposals, reports, and other funding-related documents
  • Track deadlines and deliverables across multiple funding sources
  • Maintain a grant calendar and support compliance with grant and contract requirements

Executive & Admin Support

  • Help the Owner/CEO stay organized — scheduling, prepping documents, tracking follow-ups
  • Draft meeting notes, reports, and presentations
  • Manage projects, staying ahead of deadlines, and troubleshooting project needs

Stakeholder Engagement & Partnerships

  • Help maintain strong relationships with funders, community partners, and agencies
  • Represent the organization at select meetings or events
  • Draft partner updates, outreach materials, and occasional press releases
  • Track key communications and follow-ups with external contacts

Event & Meeting Coordination

  • Help plan and coordinate meetings, trainings, or community events
  • Support logistics and communications for special initiatives and public outreach
  • Take the lead on organizing small projects that span multiple departments or partners

Data & Reporting

  • Assist with tracking project outcomes and pulling together reports for grants or internal planning
  • Support light evaluation or impact tracking to inform future work
  • Keep files and documents organized for easy reference and compliance

What We’re Looking For

Background & Experience

  • Bachelor's degree preferred
  • 2–4 years of experience in grants, project coordination, or executive support
  • Nonprofit, small business, or public service experience is a plus
  • Comfortable juggling multiple priorities and shifting gears as needed

Skills & Traits

  • Strong writing and editing skills—especially for grants or reports
  • Detail-oriented and good with deadlines
  • Comfortable with Google Suite, Microsoft Office, and (bonus!) tools like Asana or Trello
  • Friendly, professional, and comfortable engaging with people from all backgrounds
  • Able to work independently but also enjoys being part of a collaborative team

How To Apply

Please submit:

  • Your resume
  • A short cover letter that tells us:
  • What kind of grant or project work you’ve done
  • Any experience you have with contracts, compliance, or executive support
  • How you’ve worked with community partners or funders
  • Why this job feels like a good fit for you

📌 Applications without a cover letter won’t be reviewed.
