JOB TITLE: Part-Time Front Desk Coordinator
REPORTS TO: CEO and/or Practice Manager
SCHEDULE: 2-3 Days per week
SUMMARY:
As a Front Desk Coordinator, your role revolves around the meticulous management of patient
appointments, delivery of exceptional customer service, oversight of administrative tasks, and
maintenance of a smooth front desk operation.
KEY RESPONSIBILITIES:
● Accurately schedule patient appointments and monitor online booking systems.
● Communicate directly with clients regarding scheduling and appointment inquiries.
● Contact new patients who have scheduled online to provide information and answer
questions.
● Monitor and manage no-show appointments, including marking patients as no-shows,
issuing invoices, and rescheduling appointments.
● Process payments, sell packages, and enroll patients in membership programs.
● Assist patients in enrolling and utilizing reward systems.
● Maintain knowledge of retail products and make basic recommendations to patients.
● Provide information about services and staff to patients.
● Greet patients and visitors, ensuring a welcoming environment.
● Ensure completion of paperwork, accurate EMR entries, and electronic check-ins.
● Provide post-care instructions and schedule follow-up appointments.
● Assist with patient flow and procedural preparations.
● Handle incoming messages, calls, and inquiries professionally.
● Maintain cleanliness and organization of the office space and product displays.
● Perform opening and closing duties, including facility setup and shutdown.
● Participate in special events and initiatives.
● Drive patient reviews and social media engagement.
QUALIFICATIONS:
- High school diploma or equivalent; associate degree preferred.
● Prior experience in customer service or healthcare administration preferred.
● Strong communication and interpersonal skills.
● Ability to multitask and prioritize tasks effectively.
● Proficiency in computer systems and EMR software.
● Knowledge of medical terminology and procedures is a plus.
● Attention to detail and organizational skills
Job Type: Full-time
Pay: $16.96 - $18.00 per hour
Expected hours: 15 – 30 per week
