Summary
Performs routine but varied clerical duties in accordance with standard procedures. This includes clerical duties such as photocopying, compiling records, filing, tabulating, and posting information. Applies knowledge of department policies, procedures, and utilizes a general understanding of other departments' functions. Maintains records, prepares forms, verifies information, and resolves routine problems. Duties and tasks can be repetitive. Refers questions and problems to higher levels.
Key Responsibilities
- Scheduling - Run system reports to obtain export and rail orders to schedule containers, and rail cars for shipment of product to include number and type of containers, and rail car for loading. Schedule inbound / outbound truck appointments for loading and off- loading of product.
- Documentation - Pull picks for the orders for export, rail, and truck shipments. Verify product availability. Review order documentation for accuracy to include temperature verification, shipping reports, Bill of Lading, and ensuring correct seal is used to secure the load. File all records and maintain files in an orderly manner.
- Shipping – finalize and ships export containers, rail, and truck orders in required systems.
- Customer Service – Answer phones, coordinate appointments, direct and ensure trucks weigh in / out, coordinating dock assignment, communicating with drivers and management staff. Pallet Tracking - monitor and track pallet usage on a weekly basis and communicating status to appropriate personnel.
- Misc. – monitors and documents usage of office supplies, seals, freezer wear and misc. items and notifies management staff as materials need replenished.
- Maintains warehouse time sheet records and reconciles as needed.
- Additional Key Activities : Provide online training of DCS processes that pertain to export, rail, and truck billing involving internal and external warehouses.
Typical Education
High school diploma or general education degree (GED).
