The Certification and Licensure Coordinator will be responsible for supporting academic departments with their respective academic transcript, certification, and licensure processes primarily for accreditation purposes. This position duplicates accreditation files to ensure that faculty, staff, and administrators meet and maintain required professional certifications and licenses for their positions. In addition to tracking and maintaining records this position will also be required to update and maintain external online sites utilized for licensure and certification tracking. The coordinator will assist employees in understanding licensure and certification requirements, help with the renewal process, track related records, assist academic departments with internal audits to cross-reference their records, and communicate with departments with the needs for where professional development opportunities related to credential needs relative to their department become apparent.
The hourly pay rate for this position is $16.94 and has a maximum of 28 hours per week.

Principal Accountabilities
- Monitor and track employee certification and licensure requirements for various positions, including faculty, staff, and administrators
- Ensure that all employees maintain up to date certifications or licenses as required by state and federal institutional policies
- Assist employees in navigating the certification and licensure processes, providing guidance on renewal deadlines, application processes, and required documentation
- Ensure compliance with state, federal, and industry-specific regulations related to certification and licensure
- Maintain accurate and up to date records of employees’ certifications and licensure status in a central database or HR management system
- Conduct regular audits of employee certification and licensure records to ensure compliance with regulatory standards and institutional policies
- Serve as the primary liaison with external certifying bodies and licensing agencies
- Develop and maintain clear communication materials to inform employees about certification and licensure processes, deadlines, and opportunities
- Work closely with HR and professional development teams to align certification and licensure requirements with employees’ career growth and development plans
- Other duties as assigned
Requirements
- Minimum of a high school diploma or equivalent required; associate’s degree in human resources, business, management, or related field preferred
- Minimum of 2 years of professional work experience in a record retention related position; higher education, data compilation; Human Resources, or related office environment required
- Prior work experience in a higher educational institution preferred
- Prior work experience or working knowledge of certification and licensure processes, continuing education requirements, and regulatory compliance preferred
- High level skills in Microsoft Office programs to include but not limited to: Excel, Outlook, Word, etc. required
- Prior work experience with an HRIS database preferred
- Professional written/oral communication skills required
- Ability to show compassion and understanding for employee situations while ensure compliance with college policy and practice required
- Ability to work on multiple tasks while providing attention to detail and meeting all prescribed deadlines required
- Ability to maintain confidential information required
