Administrative Assistant Job Description
Top Midcoast brokers looking for a fantastic administrative assistant to offer back end support with real estate transactions.
Starting as a part time 15 hours per week position. The job will be focused on assisting in the day to day operations of a busy real estate team.
Qualifications:
- Have a two or four-year college degree and at least a year of relevant experience.
- Be open, honest and excited to engage in this position and learn new skills
- Be a problem solver

- Be technology savvy and extremely detail oriented
- Have an appreciation for and skills in developing systems, meeting deadlines, planning ahead and determining prioritization
- Be able to respond quickly to requests

Gmail & Google Drive

Docusign
Canva
Other real estate related programs
- Marketing Support including:
Preparation/mailing of Just Listed & Just Sold Postcards
Misc. Marketing Projects
Quarterly Mailers
Management of Portside Engage System & Email Blasts
Social Media Posts of Just Listed, Under Contract, Just Sold
- Support with Contact Management & Updating Databases on a weekly basis
- MLS Listing Support: Prepare all paperwork for listings; Town research and preparation of disclosure items; Enter listing into MLS; prep all marketing material; enter into skyslope
- Buyer Client Support: Prepare representation paperwork; prep offers (pull in disclosures; prep details); town research; set up inspections; enter successful offers into sky slope and ensure have all paperwork; monitor timeline for each contract and help ensure all deadlines are met
- Support with Real Estate Reviews & Property Research when needed
