What are the responsibilities and job description for the Personal Assistant / Estate Manager position at Single Family Office?
A Single-Family Office is seeking to hire a Personal Assistant directly supporting the Principals. The focus of the role is to ensure the smooth, professional running of their household and personal affairs so they may focus on their professional projects. They summer on the East Coast and travel to Europe regularly, which may require taking calls and actions outside of typical business hours.
The successful candidate will be able to prioritize, be flexible, patient, have great attention to detail, have strong, concise communication skills, and be able to remain calm in all situations. This highly organized and proactive Personal Assistant is expected to have a wide degree of problem-solving skills, creativity, and ability to see projects through from beginning to end.
Primary Responsibilities:
- Daily contact with the Principals
- Calendar and email management
- Booking and managing appointments including medical, personal care, dinner reservations and the like
- Hire and manage external third parties for matters related to the residence or autos including house cleaners, landscapers, repair service providers, etc., this includes scheduling, waiting for if needed, and confirming proper work completion
- Ensure all home maintenance is scheduled and repair needs are noticed and handled
- Managing maintenance and service of the autos
- Travel planning for the Principals and their families (when traveling with them)
- Assist in event planning (organizing, venue selection, catering, parking, etc.), attending events to ensure everything goes as planned or adjustments are made when needed
- Ensuring filing at the residence is up to date
- During summer or extensive travel by the Principals, performing regular home checks, adjusting vendors’ schedules as needed, and ensuring the home remains well-cared for
Education and Experience Requirements:
- This role requires an experienced private personal assistant who has worked in a Family Office environment for a minimum of ten years
- Strong IT and quick typing skills
Additional Job Information:
- Will need to be able to work efficiently as a remote employee when not at the residence.
- Salary for this position is competitive and dependent on education and experience.
- Candidate should expect that work may not always be performed during normal business hours.
