Position Overview
This role plays a vital part in ensuring smooth order processing, inventory management, and supply chain operations. The ideal candidate is organized, detail-driven, and capable of coordinating across departments to maintain efficiency in order fulfillment, procurement, and logistics.
Key Responsibilities
Order Processing & Fulfillment:
• Manage the end-to-end processing of customer purchase orders, ensuring accuracy and efficiency.
• Coordinate shipments with logistics partners to ensure timely delivery.
• Track orders and provide status updates to internal teams and customers.
• Resolve order-related discrepancies, shortages, and customer concerns promptly.
• Ensure accurate documentation, including invoices, Certificates of Analysis (CoAs), and Bills of Lading (BOLs).
Inventory & Supply Chain Management:
• Monitor and maintain optimal inventory levels to prevent stockouts or overstocking.
• Place internal purchase orders for products and samples based on demand forecasts and stock levels.
• Track and manage incoming shipments and warehouse stock to ensure accuracy.
• Work cross-functionally with sales, customer service, and logistics teams to ensure ingredient availability.
• Maintain accurate records of inventory transactions and reconciliations.
Operational Efficiency & Process Improvement:
• Develop, document, and implement operational policies and procedures to improve efficiency.
• Continuously assess and optimize workflows for order processing and inventory management.
• Support CRM and data management to streamline reporting and forecasting.
• Assist with general office administration and operational tasks as needed.
Qualifications & Skills
• Experience: 3 years in operations, supply chain, logistics, or order processing, preferably in the cosmetics, personal care, or food & nutrition industries.
• Technical Skills: Proficiency in MS Office (especially Excel); experience with CRM/ERP systems (e.g., ClaritySoft) is a plus.
• Problem-Solving: Strong analytical and troubleshooting skills with a customer-focused mindset.
• Organization & Detail Orientation: Ability to manage multiple priorities while maintaining accuracy and efficiency.
• Communication: Excellent verbal and written communication skills for cross-functional collaboration.
• Education: A Bachelor's degree in business, supply chain management, or a related field is required.
