What are the responsibilities and job description for the Customer Care Representative - Veterinary Medicine position at Sirius Veterinary Orthopedic Center?
The Customer Care Representative (CCR) is the first and last impression of Sirius Vet. CCRs are mainly responsible for clerical tasks, supporting the client and the Sirius Vet Team.
This is a full-time, non-exempt position with a salary range of $18 - $19 hourly and quarterly bonus eligibility. Our business hours are from 7am to 5pm, Monday - Friday.

Responsibilities:
- Schedule appointments using the phone, email, and appointment software (ezyVet).
- Collect and maintain medical records consisting of x-rays, medical history, patient medical history, and client/patient forms.
- Follow established process to prepare for appointments, completing intake sheets before the appointment.
- Prepare clients during appointments by greeting them upon arrival, weighing patients, assisting to the exam room, and explaining protocols, forms, and estimates.
- Provide timely status updates of the patient to the Doctor's Assistants during the patient's visit.
- Communicate with team members and relay pertinent information regarding patients and/or appointments.
- Collect and process payments for services rendered, finalize invoices, and educate clients on available finance options
- Maintain a clean and presentable front desk and exam rooms, including cleaning patient accidents.
- Update clients of patients' status during stay via Google Voice and document communication in patient charts.
- Email referral letters and discharge instructions to referring veterinarians, rehab clinics, and clients.
- Close transactions and reconcile end-of-day reports.
- Communicate inventory needs following internal processes.
- Operate office equipment such as printer, scanner, label maker.
- Assist in closing duties and cleaning tasks
Skills:
- Excellent communication, both written and verbal.
- Technical knowledge of computers, office equipment, and cleaning products.
- Office professionalism: empathy, active listening, positive attitude, adaptability, and resourcefulness.
- Veterinarian office experience a plus.
- Ability to work independently and as part of a team.
- Strong attention to detail.
- Multitasking.
Qualifications:
- High School Diploma
- 1 year of customer service experience.
- Veterinary experience is preferred.
- Able to lift, carry, push, and pull up to 60 lbs.
