Design Procurement Administrative Support plays a critical role in the design and procurement management processes of an organization. Their primary responsibility is to support the design and procurement team by handling administrative tasks.


Duties include:

  • Support design team with pre-sale project documentation and presentation materials
  • Post sales coordination including project related order tracking documentation that includes but is not limited to vendor customer service follow-up. 
  • Order and Acknowledgement verification
  • Maintain and update vendor records, including contracts, pricing agreements, and contact details
  • Assist in vendor onboarding and ensure compliance with company policies
  • Communicate with vendors regarding order status, discrepancies, and invoicing issues
  • Installation coordination with end-user and installation team to ensure timely delivery of goods and services.
  • Provide design support including installation document coordination including but not limited to furniture plans, renderings, installation instructions, and care package material.
  • Provide resource management and maintenance - maintain organized records of project related samples and documentation. Coordinate vendor meeting and lunch/learns.
  • Keep track of office supplies and place orders when necessary.
  • Ensure that the office environment is clean and organized, including management of samples library
  • Marketing and social media support


Qualifications;

  • Education: A bachelor's degree in business administration, supply chain management, or a related field is preferred
  • Previous experience in an architectural, design, or furniture industry is a plus

  • Excellent communication and interpersonal skills
  • Attention to detail and a high level of accuracy
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Ability to work independently and as part of a team
  • Willingness to learn proprietary, industry specific software
