The Sisters of Charity Health System is recruiting for a full-time Executive Assistant in Finance . This position provides administrative support for the Sr. Vice President of Finance and all Finance staff and is responsible for processing weekly accounts payable check runs. This position reports to the Sr. Vice President/CFO and Controller. RESPONSIBILITIES:
- Supports four standing committee meetings
- Responsible for coordination and distribution of all meeting materials; scheduling, meeting arrangements, and attending. Takes and produces written minutes as needed; maintains permanent files and records of each committee meeting.
- Responds to requests for information and assists in the production of meeting materials, reports and presentations as directed.
- Maintains calendars and schedules meetings, including notifications, room and catering arrangements; makes travel arrangements as needed.
- Processes weekly accounts payable checks for corporate entity and all ministries, including matching invoices, producing checks and mailing
- Maintains accounts payable files, addresses inquiries and researches as needed.
- Adheres to all accounting policies and procedures; maintains internal controls.
- Responsible for distribution of financial statements as directed.
- Supports finance team with audits, budgets and tax returns as directed.
- Approves hours for biweekly payrolls; coordinates as needed with payroll team and human resources.
- Opens and sorts mail for SVP/CFO; directs and handles communication when out of office.
- Prepares correspondence and other communications; responsible for editing and proofreading.
- Maintains finance files and records, updating files regularly and adhering to record retention policy.
- Provides clerical and other assistance on office projects as needed at the direction of the SVP/CFO; assist as needed to help cover absences of other admin staff.
- Assists with other finance related duties as assigned.
- Minimum of two years office experience
- Personal computer and accounting related software experience
- Familiarity with financial statements and functions
- Must have good time management and the ability to meet deadlines
- Accuracy and attention to detail
- Must be organized, self-motivated and have excellent customer service skills
- Ability to work as part of a team and independently
- Must be able to manage multiple projects simultaneously
