POSITION SUMMARY:
The Facilities and Maintenance Manager is responsible for the design and implementation of an overall plan for the ongoing maintenance, repairs, safety, and landscaping at the Sisters of Notre Dame de Namur Province Center in Belmont, CA. This encompasses all scheduling and budgeting for the building, grounds, and equipment required.
ESSENTIAL DUTIES & RESPONSIBILITIES:
• Consult and work closely with the Director of Operations, EW Support Coordinators West, Province Center Residence Coordinator, and Residence Staff to provide maintenance services for the resident community in a pleasant & polite manner.
• Complete regularly scheduled inspections, cleaning, and maintenance services.
• Contact vendors, suppliers, and contractors for bids.
• Oversee all outside contractors and vendors that perform work at the property
• Manage service contracts with HVAC, Security, Telephone Sys, Elevator and Landscaping Contractors, etc.
• Coordinate interior and exterior property services.
• Monitor expenses and approve invoices for payment.
• Supervise the work of the Maintenance Technician.
• Follow up on maintenance requests from Sisters in residence and Province Center staff as necessary. Polite communication with the Sisters in residence and all staff is vital.
• Prepare and maintain the Maintenance Schedule, furniture moving, etc.
• Maintain thorough records of maintenance, painting, and remodeling projects.
• Perform follow-up actions on recommendations from outside inspection agencies (fire, health, insurance, and others).
• Coordinate the completion of maintenance and repair projects in compliance with insurance requests and safety standards.
• As Safety Manager, stress ongoing safety awareness through safety meetings every 4 months with staff and residents. Work safely and use recommended safety equipment and procedures.
• Perform routine property inspections and develop preventative maintenance plans
• Identify long-range property maintenance needs in collaboration with Director of Operations.
• Prepare annual property budget in collaboration with Director of Operations.
• Clear, concise, and frequent communication with Province Center Residence Coordinator and Director of Operations is vital.
• Must commit to continuous eight (8) hour shift. Maintain an active presence on-site.
• Implement communication system to notify Belmont Sisters/staff when maintenance personnel is off-site and when vendors will be on-site working.
• Assist Support Coordinators with the moving of Sisters in and out of properties

EDUCATION/ EXPERIENCE/REQUIRED SKILLS:
• BA/BS Degree (Business or related degree preferable) and/or General Contractor’s license, or equivalent knowledge and experience.
• Five (5) years of property management experience preferred.
• Knowledge of property repairs and maintenance (as to how mechanical operations work and operate).
• Must be available outside of normal work hours on occasional holidays, weekends, and nights for emergencies.
• General knowledge of and demonstrated judgment about all aspects of administering a business including project planning, record keeping, budgeting, and personnel management.
• Familiar with California OSHA responsibilities.
• A team player able to manage and be managed.
• Ability to perform activities requiring physical strength and endurance.
• Good communications and technical/computer (Microsoft Office) skills.
• Strong interpersonal skills and ability to negotiate and vet pricing professionally with a network of vendors.
• Organized and detail oriented; able to keep personal area and company vehicles orderly.
• Comfortable and respectful in a religious setting.
• Valid California driver’s license.
Salary : $95,000 - $100,000
