Founding Administrative Assistant
REPORTS TO: Site Leader
TERMS OF EMPLOYMENT: 210 days with benefits and specified in the district handbook and board policies
QUALIFICATIONS:
- High school diploma required.
- Educational office training preferred.
- Bilingual and biliterate in Spanish preferred.
- Strong computer skills and proficiency in Google Apps.
- Highly motivated with strong organizational skills.
- Effective interpersonal and organizational skills.
- Ability to lift 40 pounds to shoulder height occasionally.
ESSENTIAL JOB FUNCTIONS:
- Prepare requisitions for orders.
- Assist with the scheduling parent and community meetings.
- Coordinate with site leader to find and schedule subs.
- Check in/out all substitute teachers.
- Track all employee leave forms.
- Assist site leader with monthly emergency drill reports.
- Support site leader with purchase requests, site ordering, and managing budget for site funds in compliance with district expectations.
- Prepare daily receipts and deposits; reconcile monthly expenditure reports.
- Open, sort, and distribute interoffice and regular mail.
- Prepare items for professional development and school activities.
- Coordinate with church personnel to manage building use for scheduling, activity conflicts, etc.
- Monitor copy machines, telephones, and other technology as assigned. Place service calls as necessary.
- Support with preparation of Registration, Parent Orientation, and Parent/Teacher Conferences.
- Screen phone calls and route to appropriate personnel.
- Translate materials and meetings to support communication when needed.
- Maintain student demographics and schedules in student information system (SIS)
OTHER JOB RESPONSIBILITIES:
- Works with the administrator and serves as a liaison on select or assigned matters of confidential labor relations, employment policies and related matters.
- Assist in preparation of building emergency procedures and staff emergency phone list.
- Sort and distribute shipments/deliveries.
- Collect all moneys for student activities, fundraisers, etc.
- Attend meetings/trainings as required by administration.
- Other duties as assigned by administration.
