Description
This position provides secretarial, experienced support and coordination for a variety of office support functions within the Office of Equity, Diversity and Inclusion (EDI) as well as supporting activities of the academic counseling, the P4 program, and community initiatives.
Examples of Duties
- Maintain calendar for the Equity, Diversity and Inclusion office and administrators.
- Coordinates all incoming requests including email and phone to determine the appropriate course of action.
- Prepares and coordinates meeting materials, including confidential materials, on matters that ill include faculty, learners and staff concerns and employment matters for faculty.
- Coordinates all conference/travel plans for the Equity, Diversity and Inclusion administrators and faculty including transportation, lodging, etc. and prepares travel vouchers, invoice vouchers and accounting of expenses at conclusion of trips.
- Composes letters and memoranda as requested. Types from drafts or composes drafts of correspondences without direct supervision.
- Opens and reviews mail for the Office of Equity, Diversity and Inclusion and Equity Workforce Development Center using general guidelines and independent judgment, distributes or handles personally where appropriate.
- Coordinates recruitment activities for the Equity, Diversity, and Inclusion Office as well as The Equity Workforce Development Center including on-campus visits, itineraries, employment forms, and travel and reimbursement arrangements. Assists in the planning and organizing celebration for ethnicity and diversity week.
- Assists with the maintenance of the Office of Equity, Diversity and Inclusion webpage.
- Provide specific support to the Equity Center as requested.
- Exercises independent judgment in performing the above duties in addition to other duties assigned.
II Student Activities 30%
- Schedule student visits with Equity, Diversity, and Inclusion office based on specific needs such as academic coaching, affinity groups, and mentoring.
- Assists with coordination of student campus activities.
- Assists with collaboration between Equity, Diversity, and Inclusion office and MEDPREP including recruitment, student visits, white coat ceremony and graduation.
- Assists with coordinating volunteers and agenda for all MEDPREP visits.
- Other duties as assigned
Qualifications
1) High School graduate or equivalent;
AND
2) 24 months of clerical/office support work experience comparable to that performed at the Office Support Specialist level of this series or in other positions of comparable responsibility performing duties including, but not limited to, maintains a calendar of operating or administrative commitments; gathers, provides and interprets information; coordinates unit operational projects, meetings, conferences and travel arrangements; prioritizes the principal(s)' mail and drafts initial responses of the activities of the principal(s); and composes correspondence and reports requiring knowledge of the activities of the principal(s) and/or the procedures of the unit.
