Role and Responsibilities:
Office Management:
- Oversee the daily operations of the office, including managing office supplies, equipment, and vendor relationships.
- Ensure office is well-maintained, organized, and conducive to a productive work environment.
- Liaise with facilities management to ensure building and safety compliance.
Administrative Support:
- Provide high-level administrative support to senior management, including managing calendars, scheduling meetings, and making travel arrangements.
- Prepare reports, presentations, and correspondence on behalf of executives.
- Handle confidential and sensitive information with discretion and professionalism.
Communication Liaison:
- Act as the primary point of contact between the office and headquarters, ensuring smooth communication and timely reporting.
- Coordinate the exchange of information between departments and executives in alignment with headquarters' directives and objectives.
- Ensure all communication and directives are in line with company goals and policies.
Event Coordination:
- Plan and coordinate internal and external meetings, events, and conferences, including logistics, travel, and accommodations.
- Support the organization of training programs, team-building events, and company-wide meetings.
Project Management:
- Assist with tracking and managing special projects from conception through execution.
- Collaborate with cross-functional teams to ensure timely completion of projects in line with business goals.
- Manage project timelines and deliverables, updating headquarters regularly on progress.
Financial Administration:
- Support basic financial processes including expense reporting, budget tracking, and invoice processing.
- Ensure expenses are processed in a timely manner and in accordance with company policies.
Skill and Qualifications:
- Korean language proficiency required (written and verbal)
- Bachelor's degree or equivalent experience.
- Minimum of 3-5 years of experience as an Executive Assistant or in a similar administrative role, ideally within a manufacturing or engineering environment.
- Exceptional organizational and time management skills, with the ability to handle multiple priorities.
- Strong written and verbal communication skills.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Strong attention to detail and problem-solving abilities.
- Ability to work independently and as part of a team in a dynamic, fast-paced environment.
- Knowledge of project management tools is a plus.
- Ability to handle confidential information with integrity and professionalism.
