Key Responsibilities

Reception Duties:
- Route phone calls using sound judgement while maintaining discretion about employees' personal details and whereabouts
- Keep the project list up to date by continuously tracking down contact information and job codes for new projects
- Receive and distribute mail and packages to recipients, including scanning invoices and Notices to Owners to appropriate project accountants and staff for processing
- Address general staff inquiries and communicate with building management/security to resolve office work orders

Meeting Scheduling:
- Schedule internal meetings for office staff and external meetings with clients, partners, and owners on behalf of office executives
- Book office conference rooms or make external reservations to accommodate the number of people in meetings
- Use Outlook to invite participants and distribute meeting information
- Ensure all needs are covered, including technology, food, water/beverages, and office materials

Travel Coordination and Executive Support:
- Assist office executives with meeting coordination, travel arrangements, timesheets, expense reports, technical support, and other tasks as needed
- Become proficient in Concur, JD Edwards, and Databasics systems

Shipping and Office Management:
- Generate Fed-Ex labels for offices/projects, track shipments, manage Fed-Ex account payments
- Maintain a fully stocked, sanitized, organized, functioning office daily utilizing Skanska's Staples business account (and other vendors as needed) fulfill office supply orders
- Keep inventory of office items in organized storage spaces, clean and stock all common areas daily

Contract Facilitation:
- Facilitate the signing, notarizing, witnessing, sealing, sending of contracts/bonds for project teams using Docusign or physical documents
Administrative Assistant Required Qualifications:
- 2 years of related administrative experience
- Computer knowledge and efficiency, including Microsoft Office products
- High School Diploma or equivalent experience and minimum 2 years prior relevant experience.
- Strong organizational skills, time management skills, communication abiliites, and client service orientation
