Job Summary:
The Treatment Coordinator plays a vital role in a healthcare setting, ensuring seamless coordination of patient treatments and administrative tasks. This position requires a strong understanding of dental office procedures and exceptional communication skills. The Dental Treatment Coordinator is responsible for overseeing the daily administrative operations of the dental office, ensuring smooth and efficient workflow. This includes managing patient relations, handling billing and insurance, coordinating the office's financial activities, and leading the front desk team. The ideal candidate will demonstrate excellent organizational skills, leadership abilities, and a customer service-oriented mindset while managing a variety of administrative and clinical functions.
Primary Job Duties:
1. Administrative Skills:
- Answer phones, transfer calls, and manage voicemail communications.
- Manage office emails via Gmail and communicate using MS Teams and MS Word.
- Oversee front desk operations, including greeting patients, alerting the team of patient arrivals, and assisting in check-ins.
- Ensure new patient paperwork is complete and create physical and electronic patient files.
- Utilize Open Dental software to manage patient appointments and office records.
2. Insurance & Billing:
- Review the weekly schedule to determine necessary insurance verifications for upcoming appointments.
- Handle all insurance-related activities, including calling insurers, verifying benefits, and submitting claims.
- Ensure claims are submitted with all necessary documentation and imaging.
- Batch claims for submission to insurance companies using Availity Clearinghouse and contract companies.
3. Financial Management:
- Present treatment pricing and payment options to patients, influencing their decisions on treatment plans.
- Assist patients with same-day treatment plans and future financial planning.
- Manage in-house financing for Invisalign, including collecting deposits, setting up auto drafts for remaining balances, and ensuring credit card processing through Modento.
- Coordinate third-party financing options, entering patient information into HFD systems, and documenting payment details.
- Oversee end-of-day financial reporting, audit analysis, and corrections.
- Prepare daily bank deposits and maintain relationships with vendors.
4. Patient Relations & Communication:
- Facilitate patient interactions and maintain a high level of customer service.
- Discuss payment options, treatment plans, and future visits with patients in a professional manner.
- Cross-train peers and new hires in patient communication, ensuring consistency in office procedures and patient service.
5. Leadership & Supervision:
- Coordinate front desk activities, ensuring smooth office operations.
- Provide leadership to the front office staff, ensuring a high level of service and operational efficiency.
- Cross-train team members and assist in the onboarding of new staff, ensuring comprehensive knowledge of all front-office processes.
6. Regulatory Compliance:
- Ensure all office procedures and patient documentation are compliant with applicable regulatory standards.
- Maintain accurate and up-to-date patient records, ensuring confidentiality and adherence to HIPAA regulations.
- Regularly audit office procedures and ensure compliance with insurance and financial protocols.
7. Other:
- Participate in vendor relations and coordinate any additional office duties as needed.
- Assist with coordinating the office's operational calendar, scheduling patient appointments, and managing office resources.

Experience & Qualifications:
- Previous experience as a Dental Treatment Coordinator or in a similar administrative role within a dental setting.
- Experience with dental billing, insurance verifications, and claims processing.
- Strong knowledge of financial management, including handling payments, invoicing, and end-of-day reporting.
- Familiarity with dental practice management software such as Open Dental.
- Experience in supervising and cross-training staff members.
- Excellent organizational skills and attention to detail.
- Minimum of two years’ experience in dental office administration
