We’re looking for a friendly, detail-oriented Front Office Administrator to join our team and help provide an outstanding experience for our patients.

Position Overview:
The Front Office Administrator will be the first point of contact for patients visiting our med spa, creating a welcoming and efficient atmosphere from check-in to check-out. This position requires strong customer service skills, the ability to multitask, and a positive attitude. You will be responsible for managing appointments, handling patient inquiries, maintaining a clean and organized front office, and supporting the smooth operation of the clinic.

Key Responsibilities:

  • Greet patients with a friendly and professional demeanor as they enter the clinic
  • Answer phone calls and respond to emails in a timely and courteous manner
  • Schedule appointments, confirm bookings, and manage the calendar for all services
  • Check in and check out patients, ensuring accuracy in appointment details and payments
  • Assist with managing patient records, updating contact information, and maintaining confidentiality
  • Provide information to patients about available services, promotions, and treatments
  • Ensure the front office area is clean, organized, and welcoming at all times
  • Coordinate with medical staff and other team members to ensure smooth patient flow
  • Assist with marketing efforts, including promoting services and special offers
  • Handle general administrative tasks such as filing, maintaining records, and managing office supplies
  • Handle patient concerns or complaints in a professional and solution-oriented manner
  • This role will be reporting directly to the Clinic Manager and Business Owners

Qualifications:

  • Previous experience in a front office or customer service role, preferably in a medical or med spa environment
  • Strong communication and interpersonal skills
  • Exceptional organizational skills and the ability to multitask
  • Proficiency with office software, scheduling programs, and payment systems (experience with medical software is a plus)
  • Ability to maintain a calm and friendly demeanor, even in busy or stressful situations
  • A professional appearance and demeanor at all times
  • Ability to work both independently and as part of a team
  • A genuine interest in skincare, aesthetics and wellness

Job Type: Full-time

Pay: $20.00 - $22.00 per hour
