Position Overview:
The Front Office Administrator will be the first point of contact for patients visiting our med spa, creating a welcoming and efficient atmosphere from check-in to check-out. This position requires strong customer service skills, the ability to multitask, and a positive attitude. You will be responsible for managing appointments, handling patient inquiries, maintaining a clean and organized front office, and supporting the smooth operation of the clinic.
Key Responsibilities:
- Greet patients with a friendly and professional demeanor as they enter the clinic
- Answer phone calls and respond to emails in a timely and courteous manner
- Schedule appointments, confirm bookings, and manage the calendar for all services
- Check in and check out patients, ensuring accuracy in appointment details and payments
- Assist with managing patient records, updating contact information, and maintaining confidentiality
- Provide information to patients about available services, promotions, and treatments
- Ensure the front office area is clean, organized, and welcoming at all times
- Coordinate with medical staff and other team members to ensure smooth patient flow
- Assist with marketing efforts, including promoting services and special offers
- Handle general administrative tasks such as filing, maintaining records, and managing office supplies
- Handle patient concerns or complaints in a professional and solution-oriented manner
- This role will be reporting directly to the Clinic Manager and Business Owners
Qualifications:
- Previous experience in a front office or customer service role, preferably in a medical or med spa environment
- Strong communication and interpersonal skills
- Exceptional organizational skills and the ability to multitask
- Proficiency with office software, scheduling programs, and payment systems (experience with medical software is a plus)
- Ability to maintain a calm and friendly demeanor, even in busy or stressful situations
- A professional appearance and demeanor at all times
- Ability to work both independently and as part of a team
- A genuine interest in skincare, aesthetics and wellness
