We seek a dynamic and motivated Client Care Coordinator to join our team. This individual will be crucial in delivering an exceptional client experience while supporting the front desk and assisting providers as needed. This versatile position combines customer care, administrative support, and hands-on assistance within the clinic.
Position Overview
As the Client Care Coordinator at SkinLab, you will represent the clinic and serve as its voice, ensuring our clients enjoy an exceptional experience from start to finish. You will manage various administrative tasks, assist with clinical responsibilities, and support our providers. A primary responsibility is conducting consultations for new clients, following up with them after their visits, and helping them navigate their aesthetic journeys. Your duties will also include answering phones, and contributing to our social media content. You will ensure smooth clinic operations and promote a seamless, efficient client experience.
Key Responsibilities
Client Consultation & Follow-Up:
- Conduct initial consultations with new clients to assess their goals and recommend appropriate treatments and products.
- Reach out to new clients after their initial visit to ensure they are satisfied and to address any questions they might have.
Front Desk and Client Interaction:
- Greet clients warmly, ensuring a welcoming environment.
- Assist clients with check-in/check-out, rebooking, and upselling/cross-selling services based on their needs.
Administrative Support:
- Can handle tasks such as payroll processing, ordering products and office supplies, and monitoring emails.
Clinical Support:
- Assist providers by performing hands-on tasks, including:
- Numbing clients before procedures.
- Administering B-12 shots.
- Preparing treatment rooms.
- Taking before-and-after pictures of clients for marketing and records.
Client Experience:
- Ensure every client feels valued and well cared for throughout their visit.
- Actively solicit feedback and encourage clients to leave reviews for SkinLab.
Sales and Upselling:
- Actively upsell services and products to clients based on their needs and treatment goals.
- Rebook appointments to ensure consistent client visits.
Maintain Cleanliness and Organization:
- Keep the front desk, waiting area, and common areas clean and organized.
- Ensure the clinic meets the highest standards of cleanliness and hygiene.
Team Support:
- Work closely with providers and other team members to ensure smooth clinic operations, assisting during busy periods.
Qualifications
- Experience in a customer service or client-facing role, preferably in a medical spa or aesthetics environment.
- Strong communication skills with the ability to engage clients professionally and empathetically.
- Comfortable conducting consultations and providing recommendations to clients.
- Ability to multitask and manage administrative, clinical, and marketing responsibilities.
- Passion for aesthetics and wellness, with a desire to continuously learn about new treatments and services offered at SkinLab.
- Experience with social media content creation and marketing is a plus.
- Comfortable assisting with B-12 shots and injections (certification preferred but not required).
- Proficient in scheduling systems, office tasks, and maintaining organization.
