TITLE: ALE Compliance Manager
REPORTS TO: Building Director
POSITION SUMMARY
This position provides secretarial support to the building director and various support services for students, parents, staff, and the public. Responsibilities include maintaining all records pertaining to registration. This position includes daily/weekly monitoring of student records to maintain crucial compliance issues unique to ALE schools.
Preferred Education and Experience
- High School graduate or equivalent.
- Four years of increasingly responsible secretarial experience, including records maintenance.
- Advanced technical training in secretarial procedures.
- Experience working in a school environment with students, staff, and the public.
- Experience working with Skyward and Allie
- Experience working in an ALE
Special Requirements
- Valid First Aid/CPR card
- Successful Washington State Patrol and Federal Bureau of Investigation fingerprint clearance
- I-9 employment eligibility in compliance with the Immigrations Reform and Control Act
- HIV/HBV training (obtain within 60 days of hire date – District provided)
- Human Resources new hire training (obtain within 60 days of hire date – District provided)

POSITION RESPONSIBILITIES
- Adhere to federal and state laws and district regulations, policies, procedures, and practices
- Mandatory reporter for incidents of child abuse, harassment, intimidation, bullying, boundary invasions, fights, substance abuse, etc.
- Abide by employment provisions provided for in the collective bargaining agreement
- Observe strict confidentiality regarding student information
- Maintain regular punctual attendance.
- Maintains confidential student files and records to include transcripts, immunization records (all data entry and state reporting including health file), 504s, IEPs, MLL, MV, and other categorical programs
- Maintains all emergency contact data.
- Manages and tracks all FTE pertaining to Running Start and Sno-Isle students. Schedules the students in the RST and SNO class.
- Declaration of Intent forms, tracking on all part time enrollment.
- Registers all students into Skyward and Allie.
- Maintains records and files for student information, which includes registration and withdrawal of students.
- Maintains all discipline records, including data entry into Skyward
- Assist the Director with all data pertaining to enrollment numbers monthly.
- Assists director in resolving registration and scheduling overloads..
- Provides training and workshops for all incoming new families with Allie.
- Generates reports and students lists.
- Screens phone calls for the director; independently provides information and if possible, responds to inquiries
- Maintains positive public relations for the school and the district. Greets and assists parents, students, and visitors entering the office. Provides information packets for prospective families, including facilitating tours and mentors.
- Educates and trains parents on ALE requirements as it pertains to their student/s.
- Maintains all approved interdistrict forms to include all data entry into Skyward and Allie, providing a copy to the parent.
- Schedules appointments for the directors and counselors.
- Provides basic first aid medical care to ill or injured students. Contacts parents to advise if they are not on campus.
- Maintains all crucial ALE documentation for critical compliance issues to include but not limited to the following:
- Balance FTE numbers of both Skyward & Allie P223
- Student records request/EDS background checks on potential students
- Run and track the estimated weekly hours for student learning plans
- Track the monthly certification of student hours.
- Track student progress reports.
- Track and monitor overall SLP progress reporting.
- Track and monitor Certificated contact report.
- Maintain all documentation of student intervention plans.
- Run and maintain the Choice Transfer request, input all data in Skyward.
- Name changes in Skyward on WA options tab.
- Other duties as assigned with the PSE Monroe OP Bargaining unit.

EMPLOYMENT CONDITIONS
This position is part of PSE-OP. Salary and benefits as determined by the current salary schedule. Employee is required to complete all mandatory district trainings by specified deadlines.
