SkyCare ABA is hiring a Clinic Operations Manager!
Summary:
The Clinic Operations Manager will work independently and will partner directly with the leadership team. The role is responsible for successfully managing the day-to-day operations for the clinic. The two overall goals are to create the most engaging therapy experience for our students and their parents/guardians, and to create a therapy clinic brand of choice, where parents/ guardians are lined up to enroll for our therapy sessions.
Essential Duties and Responsibilities:
· Oversees day-to-day activities of location. Identifies opportunities for process improvement and executes solutions under department leadership
· Manages clinic workflow and communications, including phone management, email, mail correspondence, etc.
· Greets families, visitors and staff members
· Provides ongoing daily/ monthly monitoring of staff member schedules to ensure that schedules are full and no-show rates stay low
· Supports and improves patient access and patient satisfaction. Listens to, and resolves, patient/ parent/ guardian complaints with professionalism and empathy
· Ongoing oversight of clinic supply inventory, ensuring the staff members have everything they need to provide excellent patient care, while remaining within budgetary limitations
· Reviews completion of daily session notes and enforces timely completion by staff members
· Prepares reports to track billable percentages, client cancellations, staff member absences and turnover, and other reports to aid in clinical operations decisions
· Coordinates new client intakes with the authorization and billing department
· Coordinates the timely completion of assessments for the purpose of re-authorization with the authorization and billing department
· Assists with site audits
· Employs marketing outreach to increase enrollment in clinic services
· Conducts clinic tours using sales and empathy skills to engage and influence parents/guardians, in collaboration with, or when clinical director is not available
· Schedules and manages the interview process with potential staff members
· Coordinates the schedule for new staff training with therapy teams to ensure all classroom and shadowing requirements are met before working independently
· Assists BCBAs with regularly scheduled team meetings, individual mentor meetings, and insurance peer reviews
· Assists in the planning of weekly training, quarterly team events and celebrations
· Coordinates special events, such as open house events, group parent training, and professional development conferences
· Acts as a role model by displaying exemplary, compassionate, and professional behavior, motivating staff members to provide excellent, patient-focused service
· Attends and actively participates in staff and leadership meetings

Essential Skills:
· Excellent customer service and phone skills
· Welcoming/cheerful demeanor
· Time management skills, ability to pick up where tasks were left due to an interruption (i.e. a phone call)
· Office management skills or experience
· Proficient in MS 365 (all aspects)
· Quick learner of CRM software
· Problem solving
· Scheduling experience a plus
Experience:
- clinical office management: 1 year (Preferred)
Job Type: Full-time
Pay: $40,000.00 - $55,000.00 per year
