ABOUT THE POSITION
The Administrative Office Admin Assistant position is responsible for performing all necessary administrative support functions and assists in the day-to-day operation of the Grain Origination/Merchandising department and/or Energy Operations department. A description of the duties includes:
- Responsible for contract administration, ticket application, settlement processing, and accounts receivable management for the assigned departments.
- Provides backup for grain merchandising (if applicable), sales, and logistic activities for the department.
- Answers telephone in a professional manner and assist customers with sales, questions or complaints.
- Timely responds to customer inquiries and greets employees, members, and visitors in a courteous manner when they enter the office.
- Daily Grain purchases and settlements and/or daily Energy and inventory reconciliations.
- Customer account maintenance to include: answering general questions from the customer about account status, applying payments, and issuing checks when applicable.
- Logistic support for the assigned department(s) to include: updating customers on status of shipments, investigating and resolving freight payable, and processing payments for freight.
- Assists with invoice maintenance and accounts receivable management.
- Internal and external reporting responsibilities to include, but not limited to, AR reporting, inventory status, sales reporting, and state and fed taxes for grain and/or energy.
- Exhibits sufficient computer technology and analytical skills.
- Provides excellent customer service by managing difficult or emotional situations; respond promptly to customer needs, resolve questions, complaints and concerns immediately and meet commitments.
- Ability to work some overtime to include evenings and weekends during peak business seasons.
- Maintains a positive attitude that promotes teamwork within the cooperative and a favorable image of the Cooperative.
- Effectively communicates by verbal and written means with customers, employees and management.
- Maintains and promotes safety awareness; follows safety policies, procedures and reporting requirements.
- Presents a clean and professional appearance.
- Complies with all state and federal laws, codes and regulations.
- Employee is required to perform all other duties as directed by the supervisor.
POSITION REQUIREMENTS
- High school diploma or general education degree (GED); at least two years of related clerical/office experience.
- Proficient with computer hardware and software to include: Microsoft Excel, Word, Outlook, and Windows.
