Job Summary-Director of Operations for Mental Health/Substance Abuse Facility

The Director of Operations for a Substance Abuse Facility is responsible for overseeing the daily operations and ensuring the efficient and effective delivery of services. This role involves managing administrative and operational functions, ensuring compliance with regulatory standards, and supporting the facility’s mission to provide high-quality care to individuals with substance use disorders.

Key Responsibilities

Operational Management

  • Oversee the daily operations of the facility, ensuring that all departments function smoothly and efficiently.
  • Implement and monitor operational policies and procedures to ensure consistency and compliance.
  • Coordinate and manage facility logistics, including scheduling, maintenance, and supply chain management.

Staff Supervision and Development

  • Supervise and support administrative and operational staff, providing leadership and direction.
  • Conduct regular performance evaluations and provide feedback to staff to promote growth and development.
  • Ensure staff compliance with training and certification requirements.

Quality Assurance and Compliance

  • Ensure that the facility operates in compliance with all applicable federal, state, and local regulations.
  • Develop and implement quality assurance programs to monitor and improve service delivery.
  • Conduct regular audits and inspections to ensure adherence to standards and policies.

Financial Management

  • Assist in the development and management of the facility’s budget, ensuring operational cost-effectiveness.
  • Monitor financial performance and implement strategies to optimize resource utilization.
  • Oversee billing, collections, and financial reporting processes.

Program and Service Coordination

  • Coordinate with clinical staff to ensure that programs and services meet the needs of clients.
  • Monitor program performance and outcomes, making adjustments as necessary to improve effectiveness.
  • Facilitate communication and collaboration between departments to ensure integrated service delivery.

Facility Maintenance and Safety

  • Ensure the facility is maintained in a clean, safe, and functional condition.
  • Oversee maintenance and repair activities, managing vendor relationships as needed.
  • Implement and enforce safety protocols to protect clients, staff, and visitors.

Community Relations and Outreach

  • Represent the facility in community meetings, events, and outreach activities.
  • Build and maintain positive relationships with community partners, and referral sources.
  • Promote the facility’s programs and services to increase community awareness and engagement.

Qualifications

Education and Experience

  • Minimum of 3 years of experience in operations management, preferably in a healthcare or substance abuse treatment setting.
  • Proven track record of successful operational management and process improvement.

Skills and Competencies

  • Strong leadership and managerial skills, with the ability to oversee diverse teams.
  • Excellent organizational and multitasking abilities, with attention to detail.
  • In-depth knowledge of substance abuse treatment practices and regulatory requirements.
  • Strong financial management skills, including budgeting and resource allocation.
  • Effective communication and interpersonal skills, with the ability to build relationships and collaborate.
  • Proficiency in using technology and management software for operational oversight.

Working Conditions

  • Full-time position, with some evening and weekend work required.
  • Primarily office-based, with regular interactions with clinical and administrative staff.
  • Occasional travel for meetings, conferences, and community events.
