Description
The Events Coordinator is responsible for supporting the seamless planning, coordination, and execution of a wide variety of events, including weddings, corporate gatherings, birthday parties, reunions, memorials, and park-based events. This role will assist and work closely with the Janitorial & Events Set-Up Crew to ensure smooth set-up of events. This position requires a detail-oriented and customer-focused individual. This Events Coordinator will also assist with Bike Park Events and report directly to the Events Manager.
This is position may offer 16-24 hours (on-site) per week and requires availability on weekends and holidays.
Key Responsibilities:
- Work closely with the Event Department, ensuring seamless execution of ceremonies, receptions, meetings, and park events.
- Assist the Events Manager and Event Department in planning and organizing a variety of events, including weddings, corporate team-building activities, and community celebrations.
- With the guidance of the Event Manager, liaise with vendors (caterers, florists, photographers, etc.) to ensure timely service and smooth on-site execution.
- Serve as the primary point of contact for clients on event day, offering exceptional customer service and support throughout the entire event process.
- Collaborate with other departments to maximize event efficiency and ensure smooth coordination for guests and staff.
- Work with and assist our Janitorial and Set-Up Crew Team to ensure proper setup, tear-down, and cleanup of event spaces, including details like seating arrangements, décor, and supplies.
- Collaborate with the Event Department to create detailed event timelines and schedules, ensuring all activities are executed according to plan.
- Support event staff and volunteers to ensure operations run smoothly during events.
- Assist with day-of event responsibilities, including managing guest needs, troubleshooting issues with guidance from the Event Manager, and providing on-site guest services.
- Assist with administrative tasks, including phone/email correspondence, preparing event packets, and maintaining event files when applicable.
- Assist with event-related materials and inventory, ensuring that necessary supplies are available and properly stored.
- Collaborate with the Event Manager/Department and other departments to ensure successful event execution.
- Maintain consistent communication with the Event Manager to seek support when necessary.
- Exhibit a strong, team-oriented mindset with a focus on achieving collective success.
- Demonstrate the ability to respect client-approved details, understanding that decisions may be based on the client’s preferences rather than personal discretion.
- Be adaptable to changes in event details, adjusting plans as needed.
- Adhere to established systems and processes, with an understanding that these may evolve over time.
- Ensure the cleanliness and functionality of event spaces before, during, and after events.
- Help with event breakdown and cleanup, including setting up tables and chairs, cleaning restrooms, trash collection, and floor sweeping.
- Other duties as assigned.
Qualifications
Qualifications:
- Exceptional organizational skills, with the ability to manage multiple projects and deadlines simultaneously.
- Excellent communication skills, both written and verbal, with a strong focus on client relations and team coordination. Responding to emails within 24 hours and voicemails the same day when on the clock.
- Must be able to maintain a positive attitude, even in stressful situations.
- Proficiency in CRM systems, event management tools, and financial tracking software.
- Ability to work under pressure and handle challenging situations with professionalism and poise.
- Must display highly skilled management and interpersonal skills (verbal, written, listening and presentation).
- Must present themselves professionally while following SkyPark Look specific to department.
- Must be able to lift 50 pounds or more.
- Must be able to work outdoors, including: standing, walking, squatting, pulling/pushing, and lifting for majority of shift.
- Must be highly organized and detailed.
- Must be adaptable to a high paced environment.
- Must display excellent communication skills both by phone and in person.
- Must have excellent time management skills.

Salary : $18 - $20
