Role Description
We are seeking a compassionate, organized, and detail-oriented individual to serve as the first point of contact for prospective clients. The Admissions Coordinator will manage all incoming phone and web inquiries from individuals seeking services for our Partial Hospitalization Program (PHP) and Intensive Outpatient Program (IOP). This role is vital in ensuring that potential clients feel supported, informed, and guided through the intake process while delivering exceptional customer service and administrative assistance. This role is fully remote. The candidate must be able to work independently and have a quiet and private workspace with reliable internet connection.
Essential Functions / Core Responsibilities
- Serve as the initial point of contact for all phone, email, and web inquiries from prospective clients and their families.
- Provide clear, accurate, and empathetic information about available treatment programs, services, and admission processes.
- Answer client and referral questions and help guide them toward appropriate care options in conjunction with the Admissions Manager.
- Follow up with client families and loved ones / support people for collateral information about the referral.
- Create and maintain a positive, welcoming, and traumatic-informed experience for all potential clients.
- Accurately enter prospective client information into the electronic health record.
- Collect client insurance information and submit benefit verification benefits team.
- Ensure all required documentation and consent forms are completed and filed properly for new clients.
- Maintain confidentiality and adhere to HIPAA guidelines when managing PHI.
- Schedule initial assessments and coordinate with Assessment Specialists to manage calendar.
- Coordinate with admissions team to ensure smooth scheduling and a seamless client experience.
- Follow up with potential clients to confirm appointments and provide any necessary information or reminders.
