Position Overview

SLAC Human Resources is seeking an experienced and talented HR/Payroll professional to provide consistent, accurate and professional administration of all employment and payroll transactions. As an HR Operations Specialist, you will support diverse workforce administration processes, such as transfers, salary changes, promotions, and terminations. This position will often be the first point of contact for many human resources inquiries and serve as a resource to staff on HR/Payroll procedures and practices. Support the transition to new HRIS and align processes with the university¿s new service delivery model.

Your Specific Responsibilities Include

Support the execution of all HR transactions and administration, such as payroll processing, benefits administration, regulatory compliance, and onboarding and offboarding activities

  • The administration of records and payroll functions and coordinate the submission of HR transactions from SLAC PeopleSoft to Stanford University Payroll
  • Enter full range of PeopleSoft data for personnel transactions to include new hires, address changes, terminations, status changes, retroactive reclassifications, layoffs and reorganizations
  • Coordinate and perform data management activities including initiating transactions (e.g. Cell Phone Allowance, Payroll Advances, etc.) and ensuring compliance with Stanford policies
  • Process and submit accurate and timely transactions to payroll (via Stanford Webform)
  • Research and resolve records, payroll and/or other human resources issues.

Manage Programs That May Including The Following

  • Internal audit controls
  • Process analysis and improvement
  • Identify bottlenecks and inefficiencies in current operations, proposing and implementing process changes to streamline workflows and increase productivity.

Maintain accurate HR Records and Payroll documentation

  • Serve as a resource on HR Records and Payroll issues and effectively communicate human resources policies and explain human resources processes and procedures
  • Provide HR Records and Payroll support, customer service, and issue resolution
  • Partner effectively with HR, Payroll and Accounting specialists to resolve issues
  • Handle highly sensitive and confidential information with discretion

Verify the accuracy and completeness of all personnel data

  • Conduct regular audits of all transaction and pay actions
  • Ensure all scheduled pay increases and implemented
  • Ensure all scheduled bonuses and supplemental pay and accurately implemented

Maintain personnel records and support the move to electronic records

  • Create and maintain employee personnel records
  • Manage records retention requirements
  • Records retention and archival of personnel files

Troubleshoot payroll and data quality issues concerning employees and management to ensure positive employee experience

  • Develop and apply a solid knowledge of University, SLAC, and DOE policies related to records matters and procedures
  • Serve and point of contact regarding policy, pay practices and resolution of pay issues
  • Manage time-sheets for employees placed on paid administrative leaves

Drive the transition to a new HRIS and re-engineered HR processes

  • Define and implement internal HR practices that secure compliance with labor laws and align with the university¿s new service delivery model
  • Assist in testing ERP system (currently PeopleSoft) changes, run routine reports, answer data questions and perform routine process and data entry audits

To Be Successful In This Position You Will Bring

  • Bachelor's degree and three years of relevant experience, or combination of education and relevant experience.
  • Experience in HR or Payroll preferred.
  • Strong attention to detail and accuracy.
  • Demonstrated experience applying and interpreting human resources policies and procedures.
  • Demonstrated experience successfully managing programs and/or projects.
  • Demonstrated ability to prioritize own work and multi-task.
  • Ability to routinely and independently exercise sound judgment in making decisions.

  • Demonstrated ability to maintain confidentiality and effectively handle highly sensitive and personal information with sound judgment, tact, and discretion.

  • Strong computer skills, including Microsoft Office suite (Outlook, Word, Excel, and PowerPoint). Familiarity with human resource management systems, such as PeopleSoft and time/leave systems. Experience using email and internet.

Physical Requirements And Working Conditions

  • Frequently stand/walk, sit, perform desk-based computer tasks, and use a telephone.
  • Occasionally write by hand, twist/bend/stoop/squat, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, lift/carry/push/pull objects that weigh up to 10 pounds, sort/file paperwork.
  • Rarely kneel/crawl, operate foot and/or hand controls.

The expected pay range for this position is $99,015 - $126,383 per annum. SLAC National Accelerator Laboratory/Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
