Position Title: Admin & Facilities Lead
Classification: Non Exempt
Grade: E
Reports To: Site Director
Summary/Objective: The role of the Facilities Lead is to take care of admin and facilities function. Responsible for providing Property Management services for the facility located in Draper, Utah. These functions include but are not limited to ensuring that the facility is maintained to required property Management standards.
Essential Functions:
- Ensures the comfort and safety of CSS Corp employees in the execution of their duties
- Negotiates and maintains vendor contracts for facilities and equipment maintenance technicians and their agreements related to equipment and landlord interface.
- Oversees facility maintenance in accordance with property management standards
- Provides for safety standards; maintains physical security, to include door locks and cameras
- Performs administrative functions on an as-needed basis
- Co-ordinate equipment, insurance and maintenance requirements with various departments; i.e. finance, accounting team, IT procurement team,
Other Functions:
- Prepare Conference Rooms for high-level customer meetings; provides refreshments
- Maintains relationships with Vendors and negotiates for supplies and repairs
- Develops and manages facility operating budget and monitors status of budget monthly
- Manage preventative maintenance agreements for all major equipment
- Maintains site security and guarantee that security processes are being followed
- Coordinates allocation of space, moves, construction and expansion projects
- Positive attitude, proactive and forward thinking to strengthen and promote company culture
Work Environment/Physical Demands:
- Function well in a fast paced work environment to steadily execute Property Management and administrative tasks
- Must be able to perform a reasonable level of physical activity
- Compiling reports and using/developing Excel spreadsheets
- Prolonged sitting at a desk in a supportive office chair.
Required Education/Experience and Competencies:
- High School diploma or GED required; BA desired
- 3 years in facilities support/management and/or administrative assistant experience
- Proficient with Microsoft office suite, computer, peripherals and general office skills
- Demonstrated organizational skills with attention to detail
- Ability to maintain confidentiality and professionalism in adverse circumstances
- Strong verbal communication and work ethic
- Ability to handle multiple projects and tasks
- Work independently, show initiative and use judgement to accomplish job duties
