Essential Duties and Responsibilities:

- Advises and collaborates with appropriate administrators regarding special education, Section 504, and other special education issues and/or programs.
- Communicates information regarding programs, services, and regulations to school personnel, parents, community members.
- Prepares timely and accurate documentation and reports data to the Department of Education.
- Overseeing the development and implementation of Individualized Education Programs (IEPs) for students with special needs.
- Help with coordinating and monitoring specialized services, accommodations, and interventions to meet students' unique learning requirements.
- Ensuring compliance with legal regulations and guidelines related to special education, such as the Individuals with Disabilities Education Act (IDEA).
- Collaborating with teachers, support staff, and administrators to foster an inclusive and supportive learning environment for students with special needs.
- Providing professional development opportunities and training when needed, for educators and paraprofessionals to enhance their understanding of special education practices.
- Helping case managers/special education teachers assessing student progress and making data-driven decisions to improve instructional strategies and interventions.
- Advocating for students with special needs and their families, ensuring their rights are protected and their voices are heard.
- Helping to manage and allocate resources effectively to support the special education program.
- Developing and maintaining partnerships with community organizations, agencies, and outside service providers to enhance support services for students with special needs.
- Keeping up-to-date with research and best practices in special education to inform decision-making and program development.
- Share the role of LEA for IEP/Evaluation meetings as needed.
- Keep informed and communicate with staff regarding legal requirements governing special education.
- Review required paperwork continuously for compliance.
- Check all IEPs for compliance, before finalizing.
- Serve as a resource person for all staff regarding special education issues.
- Assign caseloads to special education teachers.
- Create special education teacher's schedules, to ensure special education minutes are compliant.
- Create paraprofessional schedules as support is needed and ensure coverage when absences occur.
- Assists with yearly Notices and compliance issues
- Maintain yearly updates and revision of the State and Local Compliance plan in accordance with DESE.
- Provide monthly agendas of coming dues for Case Managers.
- Check all files periodically and at the beginning and ending of the year, for compliance.
- Help bookkeeper with Sped Finance Reports, Claim Care, any reports needed.
- Report to state child counts, and special education reports as needed.
- Help with maintaining attendance for ECSE students services.
- Inquire and ensure related service providers are set for the upcoming school year.
- Help with schedules for related service providers.
- Other duties as assigned by administration.
Evaluations
- Coordinate referral process and review throughout (Initial)
- Monitors process, forms, and compliance
- Oversee through entire process for compliance, forms and timeline
- Help CMs distribute and collect screening forms
- Help CMs fill out the Review of Existing Data forms and check for compliance
- Notify and reminders of timelines throughout
- Interpret diagnosis to school personnel, parents and students as needed.
- Attend Evaluation meetings
- Responsible for compiling, maintain and filing evaluation documents
- Type Evaluation Report
- Check all for Compliance
Transfer Students
- Assists with requests for special education records.
- Obtain needed information and complete current forms for placement of transfer students.
- Check for compliance on all outgoing and incoming paperwork
- Configure schedules of students and Sped teachers to follow transfer IEP compliance, minutes.
- Reminders to CMs for any IEPs or Evaluations needed due to transfers.
504s
- Take referral and begin process, assign Case Manager (initials).
- Review 504s with CM.
- Attend 504 meetings.
- Help track yearly and send reminders to CM of 504 dates.
Additional Job Functions:
- Performs other duties as required.
Minimum Training and Experience:
- Minimum of three years successful experience in the classroom.
- Masters level degree and/or K-12 Certification preferred.
Knowledge of Job:
Candidate must have considerable knowledge of the policies, procedures, and activities of the school system and instructional practices as they pertain to the performances of duties relating to the Student Services. Candidate must have capability to develop and implement long term goals in the effective operation of the school system aligned with the district and building level School Improvement Plan. Candidate knows how to keep abreast of any changes in statutes, policies, procedures and methods as they pertain to public education. Candidate is able to assemble information and make written reports and documents in a concise, clear and effective manner. Candidate has a good organizational, management, interpersonal and technical skills. Candidate is able to use independent judgement and discretion in interacting with classroom teachers, including the handling of emergency situation, determining and deciding upon procedures to be implemented, setting priorities, maintaining standards and resolving problems.
