Summary

We are seeking a Receptionist/Administrative Assistant to join our team. This role is vital in ensuring smooth office operations and providing excellent customer service, contributing to our mission of delivering high-quality sliding door repair services.

The ideal candidate will be comfortable handling a variety of tasks in a busy office environment, including answering phones, scheduling appointments, dispatching jobs, and managing technicians’ schedules. If you have a friendly demeanor, strong multitasking skills, and a commitment to providing excellent customer service, we want to hear from you.

Key Responsibilities:

  • Answer Phone Calls: Handle a high volume of incoming calls in a professional and friendly manner.
  • Customer Service: Communicate effectively with customers, including managing difficult or upset customers with professionalism and empathy.
  • Scheduling: Schedule appointments and dispatch jobs to technicians, ensuring efficient use of time and resources.
  • Technician Coordination: Manage and adjust technicians’ schedules as needed to accommodate customer needs and job requirements.
  • Data Entry: Accurately enter customer and job information into the company system.
  • Administrative Support: Assist with miscellaneous tasks and projects as needed.
  • Team Collaboration: Work closely with the team, following directions and supporting colleagues to achieve company goals.

Qualifications

  • Proven experience in office management or administrative roles.
  • Strong computer literacy, particularly with Google Suite applications.
  • Excellent organizational skills with attention to detail.
  • Bilingual abilities are preferred to assist diverse clientele.
  • Strong proofreading skills to ensure accuracy in communications.
  • Ability to multitask effectively in a fast-paced environment.
  • Excellent Phone Etiquette: Comfortable talking to customers on the phone.
  • Strong Customer Service Skills: Ability to handle customer complaints and inquiries professionally.
  • Organizational Skills: Capable of managing multiple tasks and prioritizing effectively.
  • Data Entry and Typing Skills: Fast and accurate typing for data entry tasks.
  • Dependability: Must be reliable, punctual, and committed to coming to work on time every day.
  • Team Player: Willing to collaborate and support team members as needed.
  • Attention to Detail: Follows directions carefully and ensures accuracy in tasks.

Responsibilities

  • Greet and assist clients in a friendly and professional manner.
  • Manage incoming calls, emails, and correspondence efficiently.
  • Maintain organized office files and records for easy access.
  • Schedule appointments and manage the calendar for the team.
  • Assist with administrative tasks such as data entry and document preparation.
  • Ensure the office environment is welcoming and well-maintained.
  • Support team members with various tasks to enhance productivity.

Benefits:

  • Paid Time Off (PTO): 5 days per year after 6 months
  • Paid Holidays: New Year’s Day, Memorial Day, 4th of July, Labor Day, Thanksgiving Day, and Christmas Day.
