What are the responsibilities and job description for the Administrative Assistant 1 position at Slippery Rock University?
The Administrative Assistant 1 performs administrative support services for the AVP and other managers in Facilities. This position is the lead administrative support position in Facilities and has primary responsibility for a wide variety of complex and difficult processes with limited supervision.
Supports AVP in identifying, tracking, and monitoring the progress of overall key departmental priorities, projects, and deadlines. Prepares communications to various constituents and supports the department in addressing tasks that can assist in making further progress on these priorities.
Duties include managing calendars, making travel arrangements, scheduling appointments and meetings, and purchases requests.
Carries out various administrative research assignments; conducts research, and prepares reports of findings.
Assists with analyzing department administrative operations and procedures, develops and recommends work standards.
Assists with planning, organizing, and integrating cross-functional projects within Facilities by interfacing with various campus constituencies, vendors, and Facilities management team.
Assists with developing project plans, goals and budgets as well as resources needed to complete desired administrative projects.
Prepares and proofreads correspondence, reports, and other documents prepared by the AVP. Takes, prepares and distributes meeting minutes. Organize and maintain paper and electronic filing systems and initiate recurring administrative processes. Supports the web design and updates for the entire Facilities Department.
Creates and maintains deliverables that the AVP and the Facilities department use extensively in daily work e.g.
PowerPoint presentations, Excel spreadsheets, SAP, Business intelligence etc. with input and guidance from the AVP. Prepares process flows and organizational charts for the department.
Gathers information, coordinates and prepares information for PASSHE, DEP, DGS, Cabinet and Council of Trustees. This includes weekly (WAYWO), quarterly departmental reporting, and presentations for meetings.
Keeps departmental charge-back rates up-to-date in CMMS.
Coordinates repair and replacement of all department radios.
Maintains Boiler and Pressure Vessel certificates and prepares L&I annual building permits.

Minimum Qualifications
Such training as may have been gained through graduation from a four-year college or university or any equivalent combination of experience and training. A successful interview and passing a criminal background check required.
Preferred Qualifications
Preference will be given to applicants that have excellent written and verbal communication skills; experience with Microsoft Office and database management; experience researching and providing statistical reports; budget maintenance and use of SAP program; ability to handle multiple projects; experience with SourcePoint; SharePoint web-based management; working in a facilities/design/construction department and experience working with diverse populations.
