JOB SUMMARY: Oversees the day-to-day operations of an ophthalmology practice, including managing staff, patient scheduling, financial performance, billing, compliance with regulations, and ensuring smooth patient flow, all while prioritizing high-quality patient care and operational efficiency within the department.
PRACTICE MANAGER. RESPONSIBILITIES:
- Staff Management:
- Hiring, training, and supervising all administrative and clinical staff within the ophthalmology practice.
- Conducts performance evaluations and appropriate disciplinary action, when needed, to address staffing issues.
- Creating and maintaining staff schedules, pre-op testing, and surgical/ procedure schedules to optimize productivity.
- Financial Oversight:
- Monitoring practice revenue and expenses to ensure financial stability.
- Overseeing billing and coding processes to maximize reimbursement.
- Analyzing financial reports to identify areas for improvement.
- Patient Operations:
- Managing patient scheduling and appointment flow.
- Handling patient registration, intake, and check-out procedures.
- Addressing patient concerns and complaints.
- Clinical Operations:
- Coordinating with ophthalmologists and clinical staff to ensure smooth patient care.
- Maintaining inventory of medical supplies and equipment.
- Ensuring compliance with AAAHC, HIPAA, OSHA, and other relevant regulations and annual training.
- Administrative Tasks:
- Developing and implementing practice policies and procedures.
- Managing office space and facilities.
- Coordinating with insurance companies and ASC’s.
- Maintaining accurate patient medical records and appropriate referral follow-up.
- Assist with other duties as assigned.
Required Skills and Qualifications:
- 3-5 years experience in medical office management, preferably within an ophthalmology practice
- Strong leadership and supervisory skills
- Proficiency in electronic health records (EHR) and practice management software
- Excellent communication and interpersonal skills to interact with patients, staff, and insurance companies
- Knowledge of healthcare billing codes and regulations
- Ability to analyze financial data and make informed decisions
PHYSICAL REQUIREMENTS: Classification of work level: Heavy. Requires sitting, standing, bending and reaching. May require lifting up to 50 pounds using proper body mechanics. Requires manual dexterity to operate standard office equipment such as computer, fax and telephone. Requires hearing and vision that is adequate to perform job duties. May be exposed to hazardous drugs.
