Job Description Summary
The Clinic Client Services Representative at Haven Pet Center Clinic is responsible for involves providing great client service, maintaining accurate patient records, managing accounts receivables, reception (client and phone), maintenance of veterinary medical records, accounts maintenance, cash processing, administering vaccines, data entry and janitorial work.
Main Responsibilities/Functions
· Answering Phones: Serve as the initial point of contact for clients, offering friendly and professional assistance with inquiries and appointment scheduling.
· Scheduling Appointments: Coordinate appointment bookings efficiently, ensuring optimal utilization of clinic resources while accommodating client preferences.
· Billing Clients: Manage billing processes accurately, providing transparent and detailed invoices for services rendered.
· Checking In and Out Surgical Patients: Facilitate the smooth transition of surgical patients, ensuring they receive proper care before and after procedures.
· Administering Vaccines to Pets: Utilize your veterinary knowledge to administer vaccines to pets safely and compassionately, contributing to their overall health and well-being.
· Janitorial Duties: Maintain cleanliness and hygiene standards throughout the clinic, creating a welcoming and sanitary environment for pets and their owners.
· Calling to Give Pet Updates: Keep pet owners informed about the progress of their companions, offering reassurance and peace of mind during their stay at the clinic.
· Providing Great Client Service: Go above and beyond to deliver exceptional customer service, fostering trust and loyalty among our clients through personalized care and attention.
Qualifications
· Requires strong client service skills. Personal contacts are with pet owners affected by a variety of problems, visitors, and other clinic team members. Considerable tact and diplomacy are required. Must accurately relay owner’s account of the medical complaint(s) of the pet(s) involved to the healthcare team member who will be involved in treating the patient(s).
· Critical thinking - Understanding logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
· Strong communication and motivation skills.
· Ability to work independently on assigned tasks as well as to accept direction on given assignments.
· Knowledge of computers and relevant software applications including MS Office (Word), managing files and records, and other office procedures.
· Effective communication and interpersonal skills.
· Compassion for animals and a commitment to their welfare.
· Ability to work in a fast-paced, dynamic environment and handle multiple tasks simultaneously.
· Able to be tactful and handle delicate issues.
· Valid CA driver’s license
· Evening and weekend availability
Physical Demands/Work Environment
· Must be able to stand, walk, sit, talk and hear, stoop, bend, squat, kneel, grasp grip, put fingers together firmly and reach above and below shoulder level and lift, push or pull 50 pounds for situations of restraining or moving animals and lifting food and animal care supplies, repetitively use hands to operate computers; flex the neck upward and downward; twist the neck and the waist.
· Ability to work in a fast-paced environment with a variety of people.
· Ability to identify and understand problems and determine appropriate measures to solve them.
· Efficient Microsoft Office users can maintain and use a variety of records to prepare statistical and other reports.
· Experience in animal behavior, health, handling, & care in a shelter environment strongly preferred.
· Excellent communication.
· Ability to express ideas clearly, both orally and in writing. Exercises good judgment when dealing with the public, staff, and volunteers.
· Detail-oriented. Able to prioritize and perform duties efficiently and effectively with appropriate independence.

Job Type: Part-time
Pay: $16.00 - $18.00 per hour
Expected hours: 24 – 32 per week
Schedule:
- 10 hour shift
- No nights
- Weekends as needed
