Summary
We seek an Office Administrator to join our Precious Minds Counseling & Consulting, LLC team. This role is vital in ensuring the smooth operation of our office environment, supporting both staff and clients. The Office Administrator will contribute significantly to our mission by maintaining organizational efficiency and providing exceptional customer support.
Responsibilities
- Daily review of incoming emails and faxes and identifying and processing incoming client referrals
- Answer, screen, and forward incoming phone calls
- Provide basic and accurate information in person and via phone/email
- Manage daily office operations to ensure a productive work environment.
- Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures)
- Manage the client intake process for prospective clients, including ensuring the completion of all intake documents
- Assist in maintaining client files and documentation with attention to confidentiality.
- Provide administrative support to staff
- Handle front desk duties, welcoming clients and addressing inquiries professionally.
- Coordinate communication between clients and counselors effectively.
- Perform proofreading of documents to ensure accuracy and professionalism.
- Support customer service efforts by responding to client needs promptly.
- Receive, sort, and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk
Requirements
- Proven experience in office management or administrative roles.
- Strong organizational skills with the ability to multitask effectively.
- Multitasking and time-management skills, with the ability to prioritize tasks
- Excellent communication skills, both written and verbal.
- Familiarity with customer support practices is a plus.
- Attention to detail, particularly in document management and proofreading.
- Proven work experience as a Receptionist, Front Office Representative, or similar role
- Proficiency in Microsoft Office Suite is a requirement
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- "Customer service" attitude
- High school degree; additional certification in Office Management is a plus
