POSITION SUMMARY:

The Business Manager is responsible for maintaining the payroll, compliance, employee benefits, and other operations of the child care center. The Business Manager maintains the center payroll system, enrolls employees in benefits, supports employees in tracking their teaching compliance requirements.

RESPONSIBILITIES:

Payroll

· Enter new employees into ADP Workforce Now, including enrolling in appropriate tax withholding, union status, paid time off benefits, direct deposit

· Monitor employee timeclock entries; manually enter corrections, holidays, bonuses, etc.

· Prepare payroll for Executive Director to run on a biweekly schedule

· Monitor and report payroll trends to Executive Director

· Report employee Paid Time Off balances to Operations Coordinator

Administration
Employee Records

· Maintain program forms and employee files

  • Ensure that employees have all required paperwork on file
  • Follow up with employees on any missing information, changes in information

· Input and maintain information in state tracking websites, including MERIT

Systems

Accounting

· Maintain monthly payroll accounting reports

  • Prepare reports for accountants for input
  • Maintain accounting records for employees

Taxes

· Coordinate with ADP to properly withhold and report payroll taxes

· Oversee, respond to and maintain documentation of employee L&I claims

Insurance and Benefits

· Enroll employees in medical, dental, vision, COBRA benefits

· Coordinate with insurance broker to maintain medical records in appropriate systems for tax reporting

· Create and maintain practices that ensure appropriate confidentiality for employee medical records

Program

  • Be knowledgeable of Federal, State, City, DCYF and other regulations that govern the business operations
  • Create and maintain tracking spreadsheets and other tools to monitor employee training and certification requirements
  • Data enter all information about employees into our tracking systems

Filing

· Maintain the organization of general and archive business files, according to Small Faces document retention policies.

  • Maintain the organization of employee files to meet Federal, State, City, and DCYF requirements.

Being in ratio with children

· Occasionally the Business Manager may be needed in classrooms to provide support and to maintain state required teacher to child ratios

RELATIONSHIPS:

Internal: Frequent contact with leadership and staff.Communicate daily to ask questions, receive and provide information, discuss faculty issues, explain or interpret policies and practices, and provide direction, support and mentoring to faculty

External: Regular contact with vendors, and professional associates and networks.

MINIMUM QUALIFICATIONS:

A combination of the real-life experience, education, and training listed below which provides an equivalent background to perform the work of this position.

1. High School Diploma or GED

2. At least three years of experience working in a school, child care, or non-profit setting coordinating business functions that include communication with employees and organization of operating needs related to staff and clients.

3. One year experience working in an Early Learning and/or After School program either as a teacher or administrative role.

4. Friendly, collaborative, and enthusiastic.

5. Self-directed.

6. Commitment to sustaining a culturally diverse work environment and fighting bias.

7. Ability to communicate effectively and relate sensitively to adults from diverse ethnic and socioeconomic groups, both verbally and in writing

8. Comfortable answering phones, redirecting calls and relaying phone messages

9. The usual methods of performing the job's daily functions require: lifting up to 50 lbs., carrying, pushing, and/or pulling, frequent stooping, sitting and rising from the floor, kneeling and/or crouching, and significant finger dexterity, and the ability to spend approximately 50% of the day walking or standing.

10. Must be able to work on site, arriving on time each day and not frequently absent without approval.

Additional Skills and Qualifications Preferred

1. BA or Masters in Business or equivalent.

2. Five years’ experience with ProCare, ADP payroll apps, Google Workgroup apps, Microsoft Office suite.

3. Working with a larger organization is a plus (for example, an organization with 50 employees or more than 100 clients)

LICENSES AND CERTIFICATIONS:

· At least 18 years of age

· Complies with all requirements for childcare providers from DCYF, including, but not limited to, CPR/1st Aid training, and a clear portable background check (see WAC 110-300-0105 and 110-300-0106).

Pay: $25.50 - $29.50 per hour
