Jewish Educational Non-Profit Organization providing Judaic and secular educational resources and tools online for Jewish Schools and educators is searching for a talented Administrative Assistant (AA) to join their team. This is a hybrid remote role including 2 days in office and 3 days working from home. This role can be full-time or Part-time.
JOB RESPONSIBILITIES
The Administrative Assistant role is an important member of the team and is responsible for providing direct administrative support such as taking calls, scheduling meetings, managing executive requests, and managing other time and support duties for the Founding Director and organization.
The ideal candidate for this role will be flexible, discreet, and able to handle confidential information, manage time-sensitive projects, and be an adept problem-solver. This role will have excellent written and oral communication skills, be a talented researcher, have superb attention to detail, experience creating both digital and print materials, calendar management and meeting coordination, and project management skills.
JOB DUTIES
- Provide administrative support to the Founding Director.
- Take notes and summarize meeting highlights and focus points for the Founding Director. Maintain organized files both on the computer and in print.
- Schedule and organize a heavy calendar of continually evolving meetings and outside activities involving multiple participants in a fast-paced environment.
- Support time management and meeting length for the Founding Director.
- Coordinate events and speaking engagements.
- Organize and prepare materials, documents, presentations, and reports supporting the Director and organization.
- Research and write compelling content for print and digital communications, workbooks, social media campaigns, presentations, articles, program-specific publications, e-newsletters, press releases, and more.
- Draft, format, and proofread materials for spelling, grammar, layout, and typographical errors.
- Manage work deadlines and schedules, be proactive in meeting them, and anticipate needs related to meeting those deadlines.
- Work both independently and as part of a team on projects; be a self-starter and handle matters quickly, proactively, confidentially, and with follow-through to successful completion.
- Organize, answer, and direct written correspondence and calls.
- Organize and locate documents stored electronically and in paper files on a continual basis.
- Manage travel arrangements, ensuring detailed itineraries are accounted for, confirmations are maintained, and advance materials are coordinated.
- Drive Director whenever needed to meetings, conferences, and nighttime driving.
QUALIFICATIONS
Salary range is $40,000 for part-time (28 hours per week) and approximately $60,000 for full-time. Salary range may be flexibile.
