Financial Planning & Analysis (FP&A) Manager
Location : Remote Reports To : CEO & President Department : Finance
Salary Range : $60K -$70K
Job Overview : The Financial Planning & Analysis (FP&A) Manager will be responsible for overseeing the financial health of the company, focusing on budgeting, cash flow management, financial statement tracking, expense management, and external financial correspondence. The ideal candidate will play a key role in ensuring accurate financial reporting, driving strategic decision-making, and supporting key operational goals through insightful financial analysis.
Key Responsibilities : Step 1 : Financial Planning & Analysis (FP&A)
Annual Budgeting :
- Collaborate with the CEO and President in Q4 to prepare the annual budget for the upcoming fiscal year.
- Conduct an annual review of systems and licenses.
Current Asset & Liability Tracking :
Cash :Perform monthly reconciliations of all bank cash accounts using QuickBooks (Synovus, ServisFirst, WoodForest, First Horizon, Clipper Corp).
Oversee weekly Cash Audit preparation and distribution to Operations.Provide training on Cash Audit processes.Perform regular cash sweeps and analyze daily cash balances to optimize cash flow.Inventory Management :
Approve and analyze monthly inventory budget from Salon Support Manager.Monitor and reconcile Zenoti inventory balance against actual figures.Expense Schedule :
Maintain an accurate weekly expense schedule to ensure efficient cash flow management.Financial Statement Tracking :
Update and analyze weekly Profit & Loss (P&L) statements.Maintain and reconcile electronic bank and credit card feeds in QuickBooks.Oversee payroll journal entries, ensuring accuracy for importation into QuickBooks.Prepare and lead the monthly finance meeting with CEO and President.Provide clear financial reports and lead discussions on financial health and pertinent issues.Scenario Planning (Expense, Pricing, Compensation) :
Work with leadership to ensure competitive pricing and compensation structures while supporting company profitability.Step 2 : Accounts Receivable Management
Reconcile credit card deposits with Zenoti sales monthly.Ensure accurate cash deposits and proper recording in QuickBooks.Step 3 : Accounts Payable Management
Oversee bank draft and credit card autopayments on a monthly basis.Review credit card transactions weekly and resolve any discrepancies.Manage weekly collection of invoices and issue checks as needed.Oversee bi-weekly payroll operations, including post-payroll issues, garnishments, bonuses, and W2 distribution.Step 4 : License Management
Track and manage licenses to ensure timely renewals for city, county, and salon cosmetology licenses.Step 5 : Insurance Management
Lead the annual insurance renewal process and maintain relationships with insurance carriers.Submit annual insurance audits as required.Step 7 : Benefits Management - Analysis & Vendor (HR to Employee)
Lead Open Enrollment process through ADP each September.Maintain relationships with Blue Cross and manage policy renewals.Perform monthly employee reconciliation to ensure benefits eligibility is correctly processed.Step 8 : Data Tool Management
Update the Daily KPI Management tool each morning.Update leadership team and operations team with EOS scorecards and relevant reports each Monday.Produce and distribute Bonus, Non-Coverage, and Utilization reports to Operations.Measures of Effort :
Timely and accurate production of monthly financial statements by the 15th of each month.Completion of bi-weekly payroll processing without errors.Timely and accurate remittance of accounts payable and financial obligations.Dynamic and high-level tracking of revenue and expenses.Accurate and up-to-date data tool management for Operations.Measures of Effectiveness :
Operations team has necessary reports to identify performance metrics and areas for improvement.CEO and President are consistently informed of the company's financial health.Improved EBITDA through effective expense management and strategic questioning of spending.Satisfied employees due to accurate and timely payroll processing.Reduction in payroll issues through accurate and consistent management.Required Skills & Qualifications :
Bachelor's degree in Accounting, Finance, or related field (CPA a plus).5 years of experience in financial planning & analysis, with at least 2 years in a management role.Strong knowledge of QuickBooks, ADP, and other financial tools.Experience in payroll processing and benefits management.Ability to analyze and communicate complex financial information clearly.Strong organizational skills and attention to detail.Proven track record in managing budgets and forecasting financial trends.Ability to work with senior leadership and external partners effectively.Preferred Skills & Qualifications :
