What You'll Be Doing
- Manage the CEO’s calendar with precision and foresight
- Coordinate internal and client-facing meetings (Zoom, in-person, phone)
- Maintain and optimize our CRM and digital filing systems
- Answer and direct phone calls, creating a warm and professional first impression
- Scan, file, and organize sensitive documents
- Monitor deadlines and manage multiple projects at once
- Create reports and track key administrative metrics
- Manage CEO's continuing education and professional licensing
- Identify and implement tools/automations (e.g., AI assistants, productivity apps) to streamline tasks
- Train new hires and support onboarding
- Pitch in on office coordination and special team projects
- 3 years of proven administrative or executive support experience
- Exceptional attention to detail and organizational skills
- Strong communication skills—both written and verbal
- Highly tech-savvy (experience with CRMs, cloud-based tools, and bonus points for experience using or researching AI automations)
- Proactive, solutions-oriented mindset
- Trustworthy, reliable, and discreet with sensitive information
