Summit Medical Group is recruiting for a Wellbeing Benefits Specialist. This position is responsible for planning, developing, and implementing the employee wellness initiatives to promote the health and well-being of employees. This role involves coordinating various wellness programs, events, and activities, managing vendor relationships, and ensuring effective communication and reporting. This is a full time opportunity.
Examples of Duties (List does not include all duties assigned)
- Efficiently handle day-to-day administrative tasks such as password resets, data verification, and device syncing assistance to ensure smooth operation of the wellness program.
- Respond promptly and accurately to program-related inquiries from employees across the organization, providing detailed information and assistance as needed.
- Oversee the internal wellness platform (Asset Health), including scheduling and conducting biweekly vendor meetings, organizing quarterly webinars, and implementing program design changes to enhance user experience and engagement.
- Maintain comprehensive records of all administrative activities, ensuring that documentation is accurate, up-to-date, and easily accessible for reference and reporting purposes.
- Continuously evaluate current processes to standardize, streamline, automate, and provide efficiencies across departments.
- Assists in monthly budget activities, including ordering and maintaining supplies related to event engagement, such as door prize incentives within budget guidelines, processing wellness program vendor invoices, and monitoring wellness fund credit balances.
- Prepare and analyze monthly and yearly reports, including ROI reports and incentive status files, to provide insights into program performance and effectiveness.
- Manage reporting schedules, ensuring that all reports are prepared and submitted on time. Verify data integrity and conduct thorough audits to ensure accuracy and reliability of the information.
- Analyze data trends and patterns to identify areas for improvement and make data-driven recommendations to enhance the wellness program.
- Ensure that all reporting activities comply with organizational policies and regulatory requirements, maintaining the highest standards of data privacy and security.
- Act as the primary point of contact for all wellness program vendors, coordinating services and ensuring timely delivery of all vendor-related activities.
- Schedule and actively participate in vendor meetings and calls, facilitating effective communication and collaboration between the wellness team and vendors.
- Assist in evaluating vendor performance, providing feedback and recommendations to ensure that all vendor services meet the required standards and contribute to the success of the wellness program.
- Manage vendor contracts, ensuring that all agreements are up-to-date and that services are delivered in accordance with contractual terms.
- Develop and maintain the annual communications calendar, ensuring that all wellness-related communications are planned, scheduled, and executed in a timely manner.
- Create and distribute a variety of wellness-related communications, including newsletters, emails, and marketing materials, to keep employees informed and engaged with the wellness program.
- Coordinate with vendors and internal teams to ensure that all communications are aligned with program goals and delivered effectively.
- Collect and analyze feedback from employees and stakeholders to continuously improve communication strategies and enhance program engagement.
- Lead and coordinate activities of the wellness committee.
- Plan and execute key wellness events associated with the program, including onsite screenings, wellness fairs, and other health-related activities.
- Manage quarterly Healthy Lifestyle Award communications and submissions, coordinating the nomination and selection process and recognizing and rewarding employees for their commitment to a healthy lifestyle.
- Conduct post-event evaluations to assess the success of wellness events, gather feedback, and identify opportunities for improvement.
- Performs duties in a professional manner while exhibiting a courteous and cooperative demeanor to patients, co-workers, management, and the public.
- Adheres to established company policies and procedures (including the corporate compliance program), Internal Guidelines for Worksite Wellness and follows state and federal regulations, such as OSHA and HIPAA guidelines.
- Adheres to all appropriate aspects of the corporate compliance plan.
- Remains resourceful and calm in emergency situations.
- Maintains strictest confidentiality both internally and externally.
Education
Bachelor’s degree required in Health Promotion, Public Health or related role preferred.
Experience
2 years of experience in benefits or wellness program coordination or a similar role.
Certification/License
Industry certification such as CHES (Certified Health Education Specialist) or Worksite Wellness Specialist preferred but not required.
