Job Summary
The Business Assistant represents the practice in all facets of patient services, which may include, but not limited to; greeting patients, answering the telephone, scheduling appointments, maintaining patient records, verify insurance benefits, present treatment plans, offer EZ payment options and assist patients with financial plans.

Essential duties:
Team Centric
- Attend and contribute to daily Morning Opportunity Meeting
- Attend and contribute to weekly and monthly S.P.E.C.I.A.L meetings.
- Introduce patients to team members with our relationship link.
- Provide team members with all information about new patients on our New Patient Relationship Form.
- Establish a positive relationship of trust with all patients in the practice in order to identify their personality style and needs.
- Contribute to team spirit by attending, office meetings and promotional events.
- Promote the quality of or Dental Providers as well as our culture in person and/or on social media to increase the acquisition of new patients.
Appointments
- Stands and Greets visitors and patients entering the practice and alerts appropriate staff of patient arrivals.
- Answers telephone, routes calls, provides information, and takes messages in accordance with practice procedures.
- Assist patients in the completion of their initial Medical and Dental History as well as Medical and Dental Updates every 6 months for returning patients.
- Schedules and adjusts patient appointments to maximize the patient care and reach practice profit target.
- Manages the daily, weekly, and monthly calendar to meet the practice production and collection goals.
- Establishes, maintains and keeps patient files and records up to date (i.e. address, phone number, insurance information, etc.).
- Communicates with patients regarding financial options. Reconciles financial records by receiving and recording patient payments.
- Prepares correspondence, memos, condolence letters, and other documents, as requested by doctor.
- Uses computer, electronic fax, or courier service to transmit information or documents when
requested.
- Keeps the front desk and reception areas clean. Organizes magazines to keep current and neat. Waters the plants.
- Performs necessary duties associated with checking patients in and out. Record treatment
- information in the patient’s chart. Enter the type of treatment planned for the next appointment, and the amount of chair time, doctor time and assistant time needed.
- Produces the doctor’s New Patient call list for the following day along with the New Patient Relationship Forms for review.
- Calls patients the day before to remind them of a scheduled appointment time.
- Adheres to all safety and health regulations.
- Monitors the schedule regularly, adjusts the schedule as necessary, and reschedules
patients as needed.
- During morning huddles, reports on production results, addresses problems that occurred,
- and evaluates patient flow from the previous day. Updates staff on the status of the current
- day’s production goals, and identifies scheduling gaps.
- Keeps staff and doctor informed of scheduling problems, issues or concerns
- Organizes daily charts and provides clinical staff for review.
- Registers new patients, provides necessary paperwork (welcome letter, HIPAA
documents), and ensures all required documents are completed by the patient.
- Take a patient photo for dental record and for FB after consent is obtained.

Insurance
- Studies the insurance plans that are used most frequently with patients to understand the various nuances of each plan in order to communicate more effectively.
- Documents basic insurance information on the patient’s Insurance Verification Form and appointment note for quick reference.
- Determines insurance eligibility, limitations and payment estimates necessary to facilitate financial arrangements.
- Educates patients, as necessary, regarding insurance coverage, their responsibility and basic terminology to establish a relationship of trust
- Processes and submits insurance preauthorization daily to patients’ insurance and office log.
- Monitors and follows-up on outstanding preauthorizations to ensure that patients’ maximize their benefits.
- Sends information as requested by insurance companies such x-rays, charting, narratives and other documentation for processing of estimates and preauthorization when applicable.
- Provides insurance predetermination documentation to patients, contacts the patient to make financial arrangements, and schedule treatment.
Housekeeping
- Turn on and off office music system each day, to provide a friendly ambiance for patients.
- Turn on and off computers, thermostats, lights and office equipment needed for daily operations.
- Maintain a clean work environment by constantly sweeping, moping and disinfecting all surfaces that are in direct contact with employees, visitors and patients.
- Properly open and close office doors at the beginning and end of shift to maintain our office equipment secure.
- Run a computer backup daily.

Knowledge/Skills/Abilities:
- Knowledge of appointment coordinator procedures.
- Knowledge of English composition, grammar, spelling, and punctuation.
- Skilled in the use of standard office equipment including: telephones, calculators, copiers, fax, computers, and computer software (MS Excel, Word, Practice Management software).
- Ability to maintain composure and professionalism when exposed to stressful situations.
- Ability to engender trust from the doctors, co-workers, and patients.
- Maintain confidence with the patient regarding abilities of doctor(s) and staff.

Education / Experience:
- High school diploma or equivalent
- Minimum of 1 year relevant experience in the dental profession

Pay: $12.00 - $15.00 per hour
