Overall Responsibilities
- Provide day-to-day administrative support to senior management, including scheduling meetings, managing calendars and overseeing follow-up by exec team as needed.
- Act as a primary point of contact between leadership and internal/external stakeholders, managing emails, phone calls, and correspondence.?
- Prepare and edit documents, reports, and presentations, ensuring accuracy, clarity, and confidentiality.?
- Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.?
- Assist in various projects by conducting research, gathering data, and providing administrative support as needed.?
- Assist in time management for leadership, helping them prioritize tasks and meet deadlines.?
- Perform other administrative duties and tasks as assigned by leadership.?
- Identify and track project risks and issues, working with project managers to develop mitigation strategies.
- Establish and maintain strong relationships with project stakeholders, including team members, clients, and executives.
- Identify and address project-related challenges in a proactive and effective manner.
- Make informed decisions to keep projects on track and within scope.
- Collecting and analyzing data from various sources to support campus operations initiatives.
- Support the coordination of promotion of college events with the local college departments, such as student appreciation events, career fairs, information sessions, and alumni gatherings, to maximize attendance and engagement.
- Collaborate with cross-functional teams, including admissions, academic departments, student services, career services, and external partners, to ensure efforts are aligned with overall college initiatives.
- Additional job-related duties as required and assigned.
- Bachelor's degree in Business Administration, or a related field.
- Previous experience in education administration.
- Individual must consistently exhibit the highest levels of professionalism in demeanor and attitude in all aspects of the position, especially in written and live interactions with internal and external clients.
- Mindful of the importance of balancing personalization and scalability.
- Ability to prioritize, multi-task, perform well under pressure, meet deadlines.
- Strong organizational and project management skills, attention to detail and timely follow through.
- Individual must possess strong motivational skills, oral and written communication proficiency.
- Must have strong technical skills including common computer applications, internet research, database management, and project management software.
- Leadership and team management capabilities.
- Adaptability and flexibility to work on diverse projects.
- Analytical mindset, with the ability to interpret data and metrics to inform strategies and decision-making.
- Proficiency in data analysis tools and software such as Microsoft Excel, Google Analytics, or similar platforms is essential. Knowledge of data visualization techniques and the ability to interpret data trends is highly valued.
- The capacity to identify issues, analyze problems, and develop effective solutions is valuable in a dynamic marketing environment. Critical thinking skills and adaptability are key attributes for success in this role.
- Excellent organizational skills and attention to detail, with the ability to manage multiple projects simultaneously and meet deadlines.
- The ability to work collaboratively in a team environment and communicate effectively with colleagues from diverse backgrounds is essential.
- Proficiency in Office365 apps including Microsoft Office, Excel, PowerPoint, Word.
- Experience with project management and collaborative software such as Monday.com, Fellow, and Asana, is a plus.
- Experience with collaboration tools such as Microsoft Teams, Microsoft SharePoint, Figma, DropBox, and Google Docs etc.
- Self-starter with superlative follow-through ability.
