What are the responsibilities and job description for the Deputy Clerk - Official Public Records position at Smith County?
This position includes a variety of support tasks which includes but is not limited to: input data, verify data entry, accurately process and handle a variety of documents; answer telephone in a timely manner, collect appropriate fees, scan documents, file and maintain data, reconcile funds received, and work with Bookkeeping to locate any errors made, maintain inventory and inform management of supplies shortage; interact with the public to provide excellent friendly customer service, submit accurate monthly reporting to supervisor, assist customers. Employee must also follow all guidelines listed in the Smith County Employee Handbook established by the Commissioners’ Court.
Work hours are M-F 8:00a.m. – 5:00p.m• Excellent customer service skills
• Verify needed information on all Official Public Record Documents prior to filing
• Process all documents appropriately and return to filer
• Process e-recordings accurately.
• Maintain a neat and orderly work area
• Accurately enter daily transactions with each filing
• Maintain a balanced cash drawer.
• Willingness to assist other clerks in the team daily
• Perform general office tasks such as copying, filing, scanning, printing, answering phones, etc.
• Informatively assist customers on the phone and in house with courtesy and kindness.
• All other duties as assigned•Ability to operate standard office equipment such as computers, calculators, copier, scanner, telephone, and must have good typing skills.
• Ability to work accurately and maintain neat, well organized records and desk. Detail oriented.
• Ability to establish and maintain effective working relationships and have the ability to effectively communicate, showing respect to all County employees, Officials, supervisor, co-workers and the general public.
• Offer NO legal advise.
• Abide by all Smith County Policies as written in the Employee Handbook• High school diploma or general education degree (GED)
• One year of clerical and /or secretarial experience
